  1. BeAScout Enrollments PAS posting side of the BeAScout application process

  2. No data entry? No application? No signatures to chase down? No you are not dreaming. We are talking about BeAScout Enrollments. Registrars will still receive registration fees and post the applications in PAS, but the applicant does the data entry for you and the application and approvals are done electronically.

  3. Once a council has activated BeAScout Enrollments, units that have set up a unit pin and set their Apply Status to “Active”, can begin receiving on-line applications for membership.

  4. Once an application is approved, it becomes a batch on hold in PAS. • Youth applications are approved by the unit leader, Chartered Organization Representative or Committee Chairman • Adult applications are approved by the Chartered Organization Representative and Committee Chairman

  5. Once an application has been approved, the unit must take the Payment Voucher and appropriate registration fees to the council office.

  6. The registrar will complete the registration process by posting the application. BeAScout Enrollments is found in PAS under Membership.

  7. After selecting BeAScout Enrollments, a list of all units with approved BeAScout applications on hold will be displayed. Select a unit from the list or click Search to narrow the display options.

  8. The search options allows you to narrow your search by Unit Type or Unit Type and Submitted Date. Submitted date is the date that the application was approved by the unit. In a future release you will be able to search by unit number.

  9. After selecting a unit, all approved, unposted applications will be displayed. From this screen, you can delete or process a batch. To process an application, click the box to the left of the Batch ID and then click the “Process Batch On Hold” button. Batches with the same Status Date can be processed together.

  10. The following “Add BeAScout Unit Registration” screen will appear and list the selected applicants. The Effective Date can be backdated and changes can be made to the applicant’s personal information.

  11. Verify that the fees are correct. If there are any warnings or errors, a “Show Errors” button will appear at the bottom left side of the screen. “Previous” returns you to the previous screen and “Cancel” exits the screen and does not save any changes. Click Post to post the registration to PAS.

  12. The BeAScout Post Confirmation screen is your confirmation that the registration has been posted to PAS. Click “Finish” to exit and return to the PAS menu, “Print” to print a copy of the post confirmation or “Continue” to return to the BeAScout Unit List.

  13. Once the registration is posted in PAS, the applicant, unit leaders and district executive will receive an email informing them that the registration has been posted. The adult or youth member welcome email will also include important links to additional Scouting information and training. New adult leaders will also appear on your CBC Submittal screen to be submitted for a Criminal Background Check.

  14. All unit approved applications for membership submitted through BeAScout are stored in MyBSA. In order to view these applications, you will need the role of BeAScout Administrator. From the MyBSA Home page, select the Membership tab. Click on BeAScout and then Membership Application Administration.

  15. On the Membership Application Administration screen you can search for applications and view the status.
