  2. Quick Tips

  3. Before we begin… • We feel the most important tips are to take your time and read the screen. • Just about anywhere in Medianet, you can type *C to cancel. • When unsure about your options at a prompt, typing a ? will display related help. • If a menu ends with ,etc that indicates there are more options under the ?. • Most times <defaults> will help indicate what you need to type.

  4. Let’s Brainstorm!

  5. Finding Database Information • What types of phone queries do you get from teachers? • I need to know… • What do you have… • Can I book… • What types of requests do you get from administration? • I need to know… • How many… • How often…

  6. Extracting Data From Medianet • There are two ways to extract information from the database: • Using Display,Lookup • Using Report,Generate or Report,Usual • Considerations when deciding which method to use: • Does lookup supply the information required? • Do you need the data sorted in a certain way? • Do you need a hard copy printout? • When to automate: • How often are you asked for this information? • Do you need it daily, weekly, monthly, yearly? • Do you need it occasionally?

  7. Extracting Data from Medianet • Being able to locate database information empowers you to: • Make timely, informed, effective decisions. • Efficiently answer questions. • In order to locate database information, we must first know how it is stored within Medianet.

  8. Database Structure

  9. TITLE MEDIA MEDIA PRINT Database Structure: Lists and Records • The database is comprised of a number of lists: • title • media • print, etc. • Each list contains multiple records: • the title list contains info on many titles • the print list contains info on many prints

  10. Database Structure: Common Lists • Common lists: • F title (film) • M media format (i.e. office/section/medium) • P print (i.e. copy/unit) • 5 piece (i.e. barcode, serial #, etc.) • C client • O order • B booking within an order • K keyword/subject or curriculum area • X cross reference link to make see and see also • Q link between Titles (F) and Keywords (K) • BK bookings, shipments, etc. transactions

  11. Q Subject X Client Title Booking Order Print Media Pieces Database Structure: List Relationships

  12. Database Structure: List Relationships • Lists are connected by a network relationship where all lists are headers and/or sublists to other lists. • Titles are headers to Media which in turn are headers to Prints.

  13. Database Structure: List Relationships • The same relationship holds true for clients, orders, and bookings. • Clients are headers to Orders which in turn are headers to Bookings.

  14. Q Subject X Client Title Booking Order Media Print Pieces Database Structure: Example of Relationship

  15. Database Structure: Fields • Each record is comprised of many fields • Fields in a title record include: • FCODE (title code) • FTITLE (title name) • FMIN (title length) • FSTATUS (title status) • FNEWDAT (date title added to database)

  16. Database Structure: Data Types • Each field has a data type • Field data types include: • Key unique code per record • String string of characters • Numeric number • Coded subscript contained in authority table • Julian date (i.e. day 0001 is 01-Jan-76)

  17. Database Structure: Medianet Statuses • Client (CDSTATUS: Table #49) • A-ctive • D-elinquent • H-old • W-ithdrawn • Booking & Order (BSTATUS,OSTATUS: Table #35) • I-n • D-elayed • T-o ship • O-ut • L-ate • C-ancelled • R-eturned • Title (FSTATUS: Table #15) • A-ctive • HI-storical • T-rial • 2C to be cataloged • WT withdrawn temporarily • WK withdrawn kept • E-valuation • Print (PCSTATUS: Table #20) • A-ctive • O-rdered • D-amaged • L-ost • W-ithdrawn • R damaged beyond repair • LS stolen • 2P to be processed

  18. Lifecycle of an order 1. Booked • Racked ( = rack date ) 2. Delivery/Pickup ( = ship date ) editing transit 3. Showing ( = first use ) transit 5. Received ( = back date ) showlength 4. Return ( = last use )

  47. Media Stuff Quick Catalogs • Generate for proofing data entry of new materials. • Place as reference materials in the media center. • Support material for walk-in clients. • Distribute to school libraries to promote your collection. • Create a corresponding mediagraphy on your web page. • Respond to client queries for a listing of materials. • We also recommend encouraging teachers to use the web to generate, print, and save their own lists.

  48. Quick Catalogs

  49. Quick Catalog: An Exercise • The purpose: • Generate an alphabetic catalog of just VHS titles in your database that pertain to the subject of: • Art History Let’s assume you keep various types of inventory (VHS, EQ, 16mm, kits). Let’s also assume you have various subject areas about art history that you need to combine into this one catalog.

  50. Conclusions Based on Assumptions Since you need only some of the subject areas in your database, you will have to look them up and choose the appropriate ones. Since you only want to include VHS titles in your catalog, you will need to use the filter to weed out titles with formats other than VHS. Finally, since you are generating an alphabetic catalog of a small sub-set of titles, you will not need a catalog index.
