  3. Project Background • Sector(s) in which ICT used: M&E • Opportunity : • Real-time data synthesis from multiple partners with different strategic objectives/activities operating in different parts of the country. • Flexible tool for reporting on M&E Binder developed with SMILER

  4. ICT Solution • Solution: Google Docs • No cost • No hardware or software needed • No technological support needed • Only Internet connectivity needed

  5. Key Challenges • Each partner needs a dedicated Google email account. • File management if using the same account for multiple uses including assessments, satisfaction surveys, etc • Retroactive data entry. • Managers brought on board late in review of data and how to use data.

  6. Lessons Learned • Have a solid M&E system in place including IPTT, M&E Plans, and Forms. Recommend ProPack III (SMILER) as a guide to develop a M&E Binder. • Develop a Data Quality Control Protocol laying out who can enter the data, review, and approve the data. • A Performance Audit should be conducted not less than two times a year ensures that the system has integrity.

Lessons Learned • Print hardcopies of datasheets and attach hardcopies of field forms. • Document changes made to the database • CRS/JWBG management was overwhelmed and did not understand management use of summary sheet. Managers need to be trained on how to read the Summary Sheet with the HoP monitoring the IPTT.

  8. Sustainability • Google Docs does not require tech support. • Easy to train partner on how to make their own online databases • Save to CD, print out final datasheet, and file with project files with clear guidance on where to find the data and how to access it.

  9. Summary and Close • Google Docs IPTT works best after SMILER system is developed and then it builds on the resulting M&E Binder.     • Eliminate time and efforts in collecting forms and data bases form different partners. • The use of Google Docs built local partners' capacity in M&E.
