Project Overview • Secretary of State’s Knowledgebase (SOSKB) Assessment • Assessment of current system and business processes in SOS Business Services Division and PRC Corporations Division and development of “one stop shop” business filing system model. • IT Security Assessment • Assessment of current IT infrastructure at SOS by external security vendor and plan for implementing recommended improvements. • Campaign Finance Information System (CFIS) Enhancements • Add functionality required for campaign finance reporting including improved usability of application, make campaign finance information more accessible to the public, and implement compliance reporting features.
Certification History • Project Appropriation – July 1, 2012 • Amount - $220,000 • Funding Source – House Bill 2, General Appropriation Act of 2012, Section 7, Item 10 • Project Initiation - November 6, 2012 • Amount - $160,000 • Project Implementation – March 27, 2013 (Current Request) • Amount - $60,000
Project Accomplishments to Date • PRC Corporations “As-Is” Document • Swim lane diagrams of business processes • Staffing and transaction levels • Current system history, architecture, functionality, issues, and support requirements • SOS Business Services “As-Is” Document • Swim lane diagrams of business processes • Current system architecture, functionality, issues, and support requirements • “One stop shop” business filing “To Be” Document • Vendor assisting with development of integrated business processes • Researching other state best practices
Project Accomplishments to Date • IT Security Assessment • Contract finalized – vendor begins work on 4/1/13 • Corporations move to SOS – effective July 1, 2013 • Critical Path Items Identified including: • Corporations Information System (CIS) migrated to SOS infrastructure (development environment) • Required CIS modifications identified and development has begun on PRC/SOS shared source code • Relocation activities – network upgrade, space requirements, equipment, phone, furniture • Document imaging project – resource sharing with TRD • Form and correspondence redesign activities • Corporations website redesign activities
PCC Request Details • Request for release of funds in the amount of $60,000 for implementation phase – CFIS Enhancements • TARC Waiver – no changes in technical architecture required for this phase since changes are being made to existing application • IV&V Waiver – changes to CFIS are low risk; no change to underlying database design or application workflow
