Review of the IT Department • Outline: • the process • the statistics • recommendations
The Process Conducted by the Business Manager, Mr Ross Cardiff, and assisted by HR Officer, Ms Kate Livingstone-Ward. Main steps: Discussion with CLT Meet with John Hamilton to discuss review Meet with all IT staff in group meeting Meet with IT staff individually IT staff to undertake Time and Motion Study for a 2 week period Logging system put in place – Sharepoint Data analysed and documented and report recommendation discussed with Principal and CLT Meet with John Hamilton and then IT staff to discuss outcomes Inform Staff during first staff meeting for Term 2

Recommendations 1. Staffing Levels: - Employment of new staff member to undertake combined role of Help Desk Support and Database management. (Andrew Riddell) - The AV officer will be more integrated into the IT / help desk area.
Recommendations 2. Staff Supervision: During holiday periods operational supervision would be delegated to Network administrator (Aaron Besch). A weekly meeting for help desk staff (Gerard, Michelle, Andrew) to be held on Tuesday with Director. 3. Staff Accessibility / Communication: Help Desk and AV staff supplied with a mobile phone during working hours so they may be contacted for urgent needs.
Recommendations 4. Space: The network administrator should remain in a separate room and not be contacted for Help desk functions. The remaining staff, Help Desk, Help Desk / Database support / AV Support should be housed in the end room of the ex-chapel in the first instance (Approx October 2008) and M27 once the building is complete (March 2010).
Recommendations 5. Logging System: This should be retained in a manner which is suitable (and not an administrative burden) to ensure that jobs are not lost in the schedule. 6. Benchmarks / Communication: Timeframes to be made available for completion of tasks. Staff should be contacted after this period should the role not be completed with specified timeframe. This should include job completions
Recommendations 7. Induction for New Staff: This process should be reviewed to include a comprehensive introduction to the College’s systems, including training. (Project Coordinated by Kate Livingstone-Ward) 8. Level of Support: To be reviewed once Building is complete and impact of Education Revolution, in time for 2010 budget.
