  1. Welcome CPR Member SUREPATH’s Cost Savings Presentation working with FLUID Networks Presented by: Matt Dainko and Tawnee Santoy

  2. Agenda • Who is Fluid Networks? • SurePath’s Story • An Overview • Breakdown of Challenges • Solution Building • Results • What does it mean for other Member Agencies? • Q & A

  3. Who is Fluid Networks? • Established 1994 • Delivers custom technology solutions • Specializes in building converged Voice, Video and Data networks • Experts with decades of experience • Phone lines and long distance • VoIP • Internet • SIP • Traditional phone systems and voice mail • Phone and data cabling • Wireless • Network engineering • IT Services

  4. Who is SurePath? • Established in 1966 (CCCS of Ventura) • Multiple offices throughout California • Doubled staff during housing crash • Has since reduced # of offices and size of staff • Historically, has invested heavily in Technology

  5. The SurePath Partnership With Fluid Networks SurePath and Fluid Networks began working together in 2011. Over the past 18 months the relationship has continued to evolve. Through careful process, Fluid Networks has helped SurePath lower costs, improve production, and increase system reliability Tawnee’s role

  6. Overview • SurePath owned sophisticated technology managed by a small staff • lacked the specific expertise to manage our critical network needs • Phone and Internet services were expensive and unreliable. • Carrier representatives were difficult to work with, customer service was poor. • The phone system was exceedingly sophisticated, overpriced and underutilized. • The current Data Back-up and Protection solution was outdated and inconsistent • SurePath at great risk to lose data permanently. Data Restorations were time-consuming putting a major strain on the limited IT staff • Disaster Recovery, as required by partner organizations, was all but missing. • It’s greatest challenge was simply, ‘Where to Begin?’

  7. Step 1 – Analyze Current Spending • Copies of all current phone and internet bills were shared with Fluid Networks • Their Bill Analysis uncovered: • Certain services SurePath was still being charged were no longer being utilized • Others were completely out of order • And some services were not programmed correctly leaving them useless

  8. Step 2 – Phone and Internet Replacement Considerations • Switched ISP/Internet Provider • Lower cost • Higher speeds • Switched Phone carrier • Lower Cost without sacrificing reliability • Fluid coordinated the switchover from the existing carriers to new at each of the SurePath branch locations

  9. Step 3 – Evaluate Systems in Place • Data Back-up and Protection • Symantec Backup Exec; i.e. Tape back-up • Tapes were expensive • Storage was a concern • Very manual process • 14% fail rate • Phone System • Interactive Intelligence • Heavy ongoing support and maintenance costs • Far more advanced than we required

  10. Step 4 –Systems Replacements • The ‘Magic Box’ • Required new investment • Image based backup and so much more • Exists as backup production server, too! • Data Replicated both on-site and off • SurePath meets and exceeds the Disaster Preparedness required by the industry • New Phone System • ShoreTel Unified Communications • Less expensive to purchase new than continuing to own the Interactive Intelligence

  11. Step 5 - Ongoing Support • With spending reduced, systems modified or replaced – next was ongoing support • SurePath was operating with a reduced technical staff, yet Technology remained paramount to the success of the organization • SurePath was faced with having to possibly hire more people

  12. Ongoing Support – the Solution • Enter Fluid Networks Managed Services (MSP) • Fluid’s MSP provides 24/7 monitoring of all systems and their components • Includes proactive network management – problems are many times resolved before they become service effecting, before users become aware • Virtually unlimited support at the same flat rate • An entire team of engineers maintaining phones, computers, and services

  13. Results • Phone and internet costs reduced 79% • Was spending $6,673 per month • Now spending only $1,425 • Converting from in house IT to MSP cut costs 71% • Previously averaging $9,707 per month • Now only $2,817 • Phone system replacement cut costs 81% • Was spending $1,500 per month • Now spending just $283 Total expected savings the next 5 years: $780,000

  14. The Takeaway • What pains your organization the most? • Where do you go from here?
