  1. Centralized Registration Principal Meeting May 16, 2012

  2. Next Year is a Learning Year! • Please share your feedback. • Please have some patience as we think about and work through the many new processes that we will need to put into place. • Please keep in mind that we are going from 28 registrars to 10 registrars – so the 10 are going to be busy!

  3. Purpose of the Recent Meeting with Registrars • To have a conversation about next year. • To share freely with one another about how we are feeling, what we hope for, and how we can make next year successful. • . . . more specifically, to discuss how we can work within this new “centralized registration” structure, taking into account potential problems and difficulties, and to begin to troubleshoot those problems and difficulties.

  4. Big Picture Items • Reducing the number of Parkway staff with editing rights in Infinite Campus should improve data accuracy. • Allowing registrars to spend most of their time working on registrar-type duties will improve their skills and abilities, and allow registrars to become more effective keepers of quality data (add ISC program tags, add summer school registration, etc.) • Housing registrars centrally allows for greater collaboration among registrars (time to share best practices, etc.)

  5. Changes to our Mental Models • Flexibility • May include more traveling • Job is not school-specific, it is area-specific • More registrar, less secretary • More time ensuring data accuracy • Less time performing jobs unrelated to being a registrar

  6. Action Items • Processes – establish seamless routines • Communication between schools and registrars • Public relations – responsiveness/helpfulness to families • Data accuracy – verifications, audits (missing data & conflicting data), peer reviews, targeted PD, book studies

  7. Location of Registrars • We plan to locate the registrars at the high schools, but to have one of them spend time at the middle school as well. • The amount of time a registrar will spend at the middle school is still being considered. • Registrars will continue to help manage the cumulative files at the secondary schools.

  8. Summer Meetings with Registrars • I plan to meet with all registrars some time during the first full week of June to begin to develop processes that we can implement district-wide. • I also plan to meet with all of the registrars when they come back at the beginning of July to continue the work. • I’ll plan to meet one last time towards the end of July before the August enrollment rush. • Additional summer meetings could become necessary.

  9. Monthly Meetings During the Year • Plan to pull one registrar from each area to help: • Design consistent data processes • Audit and increase the accuracy of our data • Improve communication with schools • Collaborate with other data stakeholders (e.g. technology dept., TLA dept., special ed dept.) • Develop professionally • Take what was learned back to the other registrars

  10. Site Visits • I also plan to see the registrars in action. • Observe time management • Witness concerns/problems with the implementation of the new model • Answer questions
