  2. What is the Volunteer Registry? • Created and maintained by the OCR • Created as an option for individuals interested in participating in future clinical research studies conducted at Indiana University

  3. Why was the Volunteer Registry created? • FREE Recruitment option for studies • HIPAA compliant way of keeping information about people who are interested in participating in clinical trials • Holding place for those individuals who might not qualify for your study TODAY, but may qualify in the FUTURE

  4. Is the Registry IRB approved YES!!! • Volunteers complete the following: • Informed Consent • Authorization (HIPAA) form • Volunteer Information form

  5. Who can be a part of the Registry? • The registry is open to ALL interested individuals!!! • Minors (newborn – 17 years old) • Adults (18+) • YOU!!! • We DO NOT have approval to include volunteers with advanced cognitive impairment

  6. What information is collected for the Registry? • Basic contact information • Address, phone, email, etc. • Demographic information • Birth date, gender, ethnicity, etc. • Areas of research volunteer interest • Ex. Cancer, HTN, healthy, Osteoporosis, Mental Disorders, etc.

  7. How can you utilize the Registry? • ANY researcher who is conducting IRB approved research can gain access to data in the registry. • NOTE: Access to registry requires prior IRB approval on your recruitment checklist.

  8. How to utilize the Registry? (cont’d) • You will need to check #2 under Recruitment Databases, and enter the registry IRB#. • To obtain the Registry IRB# and suggested language to include on the Recruitment Checklist please call or email: • 317-278-2821orejhardwi@iupui.edu

  9. What to do after you receive approval? • Contact Emily at 278-2821 to obtain the Query Form • Once you have filled out the Query form return it to Emily via fax (278-2895) or email (ejhardwi@iupui.edu)

  10. How many times can you query the system? You may run multiple queries for enrollment purposes over the lifetime of the study…As long as it is still approved for enrollment.

  11. Can you refer interested volunteers to the registry?? YES!!

  12. How can you refer interested volunteers? • Stop by our office, located in the front lobby of University Hospital, Room 1101C • Call 278-2821 or 1-888-264-0005 • Visit us on the web:www.clinicalresearch.medicine.iu.edu • Email the OCR at OCRinfo@iupui.edu

  13. Can I give a registry packet to my participants? YES!!! To request packets please email Emily at ejhardwi@iupui.edu

CROO Recruitment Resources • Assist in planning effective recruitment strategies • Advertising placement • All types of media, group pricing, ad templates • FREE On & Off Campus (Jag News, Scope, Practice Pearls, etc) • PAID (Indystar, WTHR, Comcast, Q95, etc) • Flyer placement around campus and Clarian, etc. • IRB submissions • Volunteer Registry verbiage, standardized recruitment database verbiage, recruitment checklists, etc. • Community Outreach • Health fairs, support groups, etc.
