  2. The call • The call will probably come out of the Blue. • Your first thought will be what should I do? • The second will be who should I call? • The answer is NOT Ghostbusters

  3. The 5 Ws Details to be recorded; Who What Where When Why

  4. Who • Which agency? • A name • A phone number • A mobile number • Be prepared to double check by calling their control. • If they seem hesitant, call anyway

  5. What • Nature of the incident? • What do we need to provide?

  6. Where The address of the incident including post code and grid reference. i.e. Burrowfield, Bruton BA10 OHN ST686352 This will often be only an approximate location in the first instance.

  7. When Do we need to respond now? Is this just an alert? (possible flooding or snow) - do we need to send an SMS? Is it a standby? -- send an SMS. Is it a call out? --- Send an SMS and decide who should take ‘Bronze’ control at the scene.

  8. Why Nature of the incident? Are we being called for off road ability? Are we needed to transport passengers? Are we needed to transport equipment?

  9. Send SMS Message Log onto the SMS system using the address and username / password which you should have. If you have forgotten or lost them please ask for a new one. The SMS system itself is outlined in a further presentation.

  10. The message The initial message will normally consist of W4x4R date time. Call out or standby. Incident location Who by ---- i.e. Devon EPO Request for acknowledgement A contact number to respond to

  11. The “control room 1” Log on to the virtual control room athttp://www.wessex4x4response.org.uk/Incidents2/ using your normal username & password  to give this screen

  12. The “control room 2” Click on “add a new row” Which will bring up a screen similar to your paper log header

  13. The “control room 3” Entering the data will update the previous screen. At any time your colleagues (other controllers) will be able to log on and if necessary add information. Members (and others)will be able to view a certain limited amount of information. If information is sensitive use the “controllers only box”

  14. Updates Frequently update the calling agency Can they give us any updates? Can you run ‘Silver’ from home or is there a designated silver control? If so are you moving there or designating someone else as Silver?

  15. What next From now on life is simple, Your job is to keep passing messages between the calling organisation and the members. To decide whether more or less units are required based on recommendations from the Bronze Controller(s)

  16. Don’t worry The job is not so daunting as it looks. Many of the tasks outlined are done in your everyday job without you realising it.
