Defining Your CMS Users Will Help … • Prioritize projects/assignments/responsibilities • Rush/Requested materials (within 24 hrs.) • Newly purchased materials (within 3 days) • Gifts/Backlogs (project-based cataloging) • Design staff training • Core training (fundamentals of cataloging and metadata) • Routine training (changes in cataloging and metadata practices) • Special training for special projects

Challenges of Managing CMS • Declining budgets = Less staff • Assess/reassess/redesign workflows • Demands in user-centered catalog = Frequent changes in software • Get involved in decision-making process • Dealing with increasing digital resources and understanding various non-MARC metadata • Design staff training • Outsourcing • Know your staff and assess in-house capability; always consider the needs of our users • Resource Description and Access • Take a deep breath … and start planning

Optimal Organization Structure • Restructuring of Cataloging Department Cataloging and Metadata Services (2006) • Mission statement • Team structure • Re-deployment of staff to address hidden collections, digital scholarship • Needs assessment and goal setting • 3 Minor Restructure (2008-2011)

From Serials Cataloging to ERSA • Electronic Resources and Serials Access • One team within CMS (addition of 2 staff from ACQ) • serials acquisitions, KB maintenance, ERM (inc. usage statistics collection) and WB (link resolver) maintenance • Working in close collaboration with ACQ, Collection Development and Public Services librarians, and engaging with users

  13. Client-Centered Focus • Understand All Libraries Trends and Operations • New acquisition models, such as PDA • Scholarly Communication and Open Access • Be Proactive • Develop a Culture of Assessment • Data-driven storytelling • Demonstrate ROI • 5-year update to the Libraries

Digital Scholarship • Digitized collections – metadata librarian and 6 out of 13 monographic and serials copy catalogers providing descriptive metadata, using VRA Core and MODS (so far…) • Collaboration with curators of data and other cultural resources and institutional assets • metadata librarian hired in 2011

Future Challenge and Opportunity • New major role for metadata librarians – data management • collaborations among stakeholders is key to success in building institutional infrastructure for research data • A key stakeholder is Libraries and metadata specialist in a critical role • Digital Research Data Sharing and Management http://www.nsf.gov/nsb/publications/2011/nsb1124.pdf • Standards and interoperability enable data-intensive science.  “Standards for descriptive and structural metadata will help establish a common framework for understanding data and data structures to address the heterogeneity of datasets…”
