  2. PAR – Phase 1 The package containing the Handbook for Principals was sent to schools at the end of February. This package included an important letter with the details for accessing the Participation and Registration (PAR) website. The letter contains: • the PAR web address • the school username • the school password. This letter must be stored securely. The access information was also emailed to all schools.

  3. PAR – Phase 1 In March, all NSW schools must access PAR to confirm their school and student details, during the following periods. 5 - 9 March - Government schools 12 - 16 March - Catholic Schools 26 - 30 March - Independent Schools Once these details have been confirmed, overprinting of the test books with student details can commence.

  4. PAR – Phase 1 In Term 1,Principals or their delegates will use PAR to: • Complete the Statement of Compliance to acknowledge that they have read the Handbook for Principals. • Update school details, including the name of the NAPLAN coordinator and Year level contacts. • Access and check the listof registered students. • Indicate students who are exempt or withdrawn from the tests. • Amend or delete the roll class groupings, to indicate the preferred order for test books to be packaged. • Confirm the student data for overprinting of test books.

  5. Logging on • To log-on to the PAR website: • Go to www.naplanpar.nsw.edu.au. • Enter the Username and case-sensitive Password for your school. • The log-in screen will appear. • . There are links on the log-on screen to the PAR Manual and to the contact details for support.

  6. Home Page • After logging-on, the Homescreenwill open. • . • The Help button provides information about completing the steps in each screen. • Important PAR updates and messages will scroll across the top of the screen in red. • Main menu • Table of tasks All tasks in PAR can be accessed from the main menu on the left or the table of tasks in the middle of the Home screen.Both perform the same function.

Home Page • The steps in PAR Phase 1 are: • Statement of Compliance • School Details • School Contacts • Student Management • Print Order • Confirmation • To move to a different screen: • Click Next at top or bottom of the screen or • Click the link on the main menu • or • Click the link in the table on the Home screen. • . • The Help button provides information about completing the steps in each screen.

  8. Statement of Compliance • Principals must acknowledge that they have read and understood the information in the Handbook for Principals. • The Statement of Compliance must be completed before any registration information can be entered. After reading the Handbook, click the check box. Type the Principal’s name. Type the Principal’s email. Click Submit.

  9. School Details After completing the Statement of Compliance, click School Detailsin the main menu and check the details. The school’s address cannot be edited. The school’s phone, email and fax can be edited, if incorrect.

  10. School Details If you need to make changes to the school address, please phone Teresa Elliott (02) 9707 6223 (NSW schools) or Ken Gordon (02) 6205 9498 (ACT schools). Click then click the button to go to the next screen or click to go to the previous screen.

  11. School Contacts • The School Contacts screen allows you to enter the names of the staff at your school who are: • authorised to receive NAPLAN test material on delivery. If possible, at least three staff members should be nominated. • the main contacts for each year level.The Year level contacts will be included in emails to the school. Schools need to add contacts to this list.

  12. School Contacts To add a School Contact: Drop down list to indicate the contact’s role in the school. • Click on thebutton in the middle of the screen. • This will display a list of fields to be completed. Check boxes to indicate the Year level for the contact.

  13. School Contacts To add a School Contact(cont): Select the contact’s role from the drop down list. Enter the contact’s name. Tick the check box if the person is the Year level contact. Click Add. Click . A message will appear to indicate the process was successful.

  14. School Contacts To add a School Contact(cont): • The fields will then be updated on the School Contacts screen.

  15. School Contacts To edit a School Contact: • Click on the Edit button next to the name on the School Contacts table. • The Edit Contact screen will open. • Update any details for the contact. • Click the button.

  16. School Contacts To delete a School Contact: • Click on the Delete button next to the name on the School Contactstable. • The Delete Contact screen will open. • Click the Delete button. • Click the button to return to the School Contacts screen.

  17. Student Management • The Student Management screen lists all students uploaded to the PAR website. • Student details need to be checked and edited where necessary. • Students can be added and deleted. • Roll class allocations can be changed. • To check the student details use the Sort table. Use the drop down list to select the ~ Year level ~ Test Type ~ Roll Class . Click Search.

  18. The list of students in the PAR database will be displayed. Student Management The page numbers can also be clicked when. there are more than 50 students in the cohort. Click Display all students where there are more than 50 students in the cohort. Click on the blue column headings to sort the students.

  19. Student Management To adda new student: • Click in the Edit table. • The Add new student screen will be displayed. Enter the details of the new student. If the student’s SRN is not known, type 000000000 (nine zeros). Use the drop down lists where available.

Student Management To edita student’s details: • If a student’s details are incorrect (e.g. name spelled incorrectly or wrong gender), click on Edit next to the student’s name. • The Edit student screen will be displayed for editing. Click the Update button at the top or the bottom of the screen. After entering the details, click to return to the list of students.

  21. Student Management To search for a specific student: In the Sort table enter the student’s name into the boxes and click Search. • If the name exists, the list will display the student/s matching the name. • If the name does not exist the message ‘Thisstudent is not found’ will be displayed. Click in the main menu to return to the list of students.

  22. Student Management To record a student as Exempt, ParentWithdrawalor Deleted: In the list of students, go to the Proposed Status column next to the student’s name. Use the drop down list to choose: ~ Exempt ~ Withdrawn ~ Deleted. • Select Deleted for students who have either:~ left the school and are now enrolled at another school or • ~ are listed in the wrong cohort (e.g. enrolled in Year 2). • If Exempt is selected, the student will not be provided with personalised test books.

  23. Student Management To record a student as Exempt, ParentWithdrawalor Deleted (cont): • If Exempt or Withdrawn is selected, the student’s record will be highlighted in colour to indicate that a consent form must be completed. • The consent form can be downloaded from: • the link at the bottom of the Student Management screen • the link on the main menu. Students who are withdrawn are shown in orange. Students who are exempt are shown in yellow.

  24. Student Management To record a student as a Visiting student: • If a student is visiting your school from another school (in NSW or interstate) to complete the NAPLAN tests, tick the Visiting Student check box in the Add new student screen.

  25. Student Management To record a student as a Visiting student (cont): • The details you need to enter for a Visiting Student are: • Student SRN • First name • Last name • Date of birth • Gender • Year level If the student’s SRN is not known, type 000000000 (nine zeros). If the student’s home school is in NSW or ACT, use the drop down list. If the student’s home school is in another state, enter the home school and state in the comments box. The visiting student will be added in red font to the student list.

  26. Student Management Roll classes are used to determine how the books are packaged after printing. • A student can only be associated with one roll class. • If no roll class is shown, the books will be packaged in alphabetical order. • Roll class names can be: • added • edited • deleted. • Students can be moved to different roll classes.

  27. Student Management To adda new roll class: • Click in the Edit table. • The Add new roll class screen will be displayed. • Enter the new roll class name. • Enter the year level from the drop down list Click Return to go back to the Student Management screen. Click Add. The list of roll classes will show the number of students.

  28. Student Management To edit a roll class name: • Select the roll class from the drop down list in the Sort table. • Click in the Edit table. Next to New Roll Class Name, enter the new name. • In the Edit table, new links will appear. Click Update Roll Class Name.

  29. Student Management To move some students between roll classes: • Click the check box at the beginning of the row containing the name of the student/s you wish to change. • Select the new roll class from the drop down list next to in the Edit table. The roll class information will be updated for the selected students.

  30. Student Management To move all students between roll classes: Click the check box at the top of the first column. The check boxes next to the names of all students, will be ticked. • Select the new roll class from the drop down list next to in the Edit table. The roll class information will be updated for the selected students.

  31. Student Management To printorsavea list of students: You can print and/or save the list of students by clicking in the Edit table. • When the report screen appears select the Year Level, Test Type and Roll Class from the relevant drop down lists. • Click View Report (on the right hand side).

  33. Student Management To savea list of students (cont): After the report is generated, select the preferred format to save the report from the Select a Format drop down list. • Click Export and Save the document to the desired location.

  34. Print Order • The print order must be selected before student details can be overprinted onto the test books. • The print order can be either: • Alphabetical by Surname (which is the default), • or • Roll Class, Alphabetical by Surname. • The print order will apply to all test types.

  35. Print Order To select the print order for a year level: • Click on the main menu. • In the table, select the PrintOrder from the drop down list for eachyear level. • Click on the button to move to the Confirmation screen.

  36. Confirmation This screen is used to confirm that the student details are correct for overprinting of test books. • Click the box next to the Year level that you want to confirm. • . • The date and time of confirmation will be shown. • . Once each year level has been confirmed the student registration process is complete and the Student Management link on the Home screen will be greyed out.

  37. Confirmation After confirmation, further changes can be made to the student details (e.g. to add a new student), • If you need to make any further changes, untick the relevant box on the Confirmation screen and click to go back. • The list of students is now re-enabled for editing, however, the updates may not be shown on the overprinted test books.

  38. Forms The Forms screen contains links to documents and forms for use during the NAPLAN period. Each form can be downloaded and saved as a PDF document. • Documents • Handbook for Principals • PAR Manual • Forms • Letter to Parents • Exemption and Withdrawal • Special Provisions • Special Print material • Electronic Test • Scribe use • Computer use

  39. Information about using PAR in Phase 2 (test week) will be distributed with the test materials. PAR - Phase 2
