What Does Event Planning Include? • All types of events! • Service Projects, Fundraising Events, Socials, Conventions, Parties, Concerts, etc. • Event Planning is more than just planning an event. • Sample of other things to think about include budgeting, establishing dates and alternate dates, & selecting and reserving the event site.
Why is Event Planning Fun & Rewarding? • You get to plan an event that many people will enjoy/benefit from? • You get to make event planning your own. • Doing behind-the-scenes work and seeing the product of your work. • You run the event the way you want it to be run.
What Goes Into a Good Event? • Location • Date • Theme • Decorations • Marketing/publicity • Food/drinks • Budget/cost
Why is Location Important? • Where your event will be can determine its success. • Some questions to ask yourself: • How far is the event? • How will people get there? • How many people will go?
When Should My Event Be? • A date of an event is important. • Does that time work for people? • Some service projects already has a set date & time. • Work around midterms, final exams, and holidays. • What are other school’s schedules?
Theme and Decorations • A theme can make or break your event. • Would the members like this theme? • Can I execute the theme correctly and properly? • Decorations should be used to enhance your event.
Publicity and Marketing • A successful event has a lot of advertising! • Not just a lot but GOOD. • Spread the word out! • In Person, Online, Social Media • Facebook events are a great way to spread the word. • Have an eye catching campaign.
Major Types of Events • Service • Fundraising • Social
Service Project Planning • Send out reminders a fews before the event and the day of event too. • Always been in close contact with volunteer coordinator(s). • Make sure you organize how you are going to get to the event. • Ex) Carpool, bus, walking • Have people’s numbers and contact information. • Make sure that everyone has a job and is working.
Fundraising Project Planning • Any event that makes money can be made into a fundraiser! • Always have a cause for your fundraising event. • Send out a few reminders the day before the event. • Always have enough people working at your event. • Similarly, always have enough supplies at the event! • Be prepared for some curveballs! Have a back-up plan. • Make sure you have a safe and secure way of keeping the money. • Bring some change with you to the event!
Social Project Planning • Send out reminders a fews before the event. • Make sure you plan the time of the social when most people can go. • Plan something that most people want to do/go to. • Try to have a balance of free and paid socials. • Make sure the people running the social are talking and helping the event be as inclusive as possible.
Make it CKI Appropriate • Know what paper work you need to fill out. • ERF • CERF • Medical Waiver
Make the Event Special • Add a cause (especially fundraisers) • Do something that will really get people pumped up for the event. • Yes, people go to have fun and meet people, but they’re also there for another reason, so you need to make that reason! • Every event has a cause, purpose, or goal • What would your event’s cause, purpose, and goal be?
