This guide provides detailed steps for securely backing up and cleaning up workshop data when using the Red SNA and Matrix software. It includes instructions for creating and structuring a workshop folder, exporting SNA data as Excel files, and saving user input into Word documents. Single Folder to collect • Create a folder on desktop with name of ‘workshop’. • Create subfolders: ‘output’, ‘videos’, ‘backup’, ‘output/images’
Export SNA/Matrix AS XLS WHEN RUNNING LIVE • For each used Matrix / SNA. RMB > Export > XLS to ‘output’. This will save an Excel 2003 file for further analysis.
Export SNA/MATRIX AS XLS FROM A SAVED FILE • If you have loaded the .redx file from a saved file then .xls export is not (yet) supported. • However if you are still on the same laptop goto the backend to export the files needed. • http://192.168.11.20:8888/sna/import.php (or /matrix of course) • Feel free to also save any .csvfile.
Save PLUGIN’s OWN DATAFORMAT + IMAGE • For each used Matrix / SNA / OHI. Right mouse click > Export > .ohi / .redsna /.hm and to ‘output’ • For each SNA / Matrix: RMB > Export > Screenshot and save to ‘output’
COPY / PASTE all user input (Q&A) to WORD DOCUMENT • Create a Microsoft Word document in ‘output’ with similar name as workshop. • In Red: For each question / barchart / vote that people have answered. Select item. ‘Copy’ (or CTRL + C) , switch to word then ‘Paste’ (or CTRL + V). • It is very useful doing this in a chronological order.

COPY / PASTE all user input (Q&A) to WORD DOCUMENT (3) • For SNA / MATRIX you can add the exported screenshots from earlier AND or include the .XLS Graphs you made. • You can also copy / paste the images from flipcharts etc… • Format the document to be handy. • Pasting to Powerpoint is possible but not supported.

BACKUP Presentation and Videos • In Red, For each ‘Red’ presentation, Open and Save As to ‘desktop’. Remember from now on XLS export will no longer work • In Red, For each presentation, File > List External files > Copy to ‘videos’
Export all images to standalone FOLDER • No easy way yet • In Windows Explorer Copy and Paste the .redx file • Change extension of copied file to .zip • Extract zip to a folder • Inside folder you will see ‘images’ folder. All images / slides are there. Copy to “output\images”
BACKUP ALL DATABASES / LOGS • Goto c:\ProgramData\Sandbox and zip that folder. (we use 7zip http://www.7-zip.org/) • Copy the zip to , ‘backup’. • This contains ALL info for any backend application • It also contains ALL errror logs and autosaves. • It allows complete analysis of all data if ever needed.
COPY FULL FOLDER TO EXTERNAL HD / • Now copy the ‘workshop’ folder to off-laptop • All data is now outside ‘Red’ and ‘red’ version can be duplicated on another machine if needbe. • You can put the workshop folder (excluding videos that are non-speficic to the workshop) to the FTP as as .zip file. But space is not unlimited.
Cleanup AUTOSAVES / RECENT • If you are 100% sure you have backed everything up you can clean up the laptop to remove (as much as possible) content to prevent data ‘theft’. • In Red > File > Delete > Autosaves / Recent
Cleanup BACKUPS • In windows explorer type %appdata%, then enter You are now likely in a ‘roaming’ folder like below
Cleanup BACKUPS • Go one ‘up’ in the folder structure Navigate then to Local\Red\Recovery\file and delete all the .redx files
Cleanup SNA DATABASE • In c:\ProgramData\Sandbox\htdocs\sna\database • Delete all *.db files except sna-empty.db • Copy and rename sna-empty.db to sna.db
Cleanup Matrix • In c:\ProgramData\Sandbox\htdocs\matrix\database • Delete all *.db files except matrix-default.db • Copy and rename matrix-default.db to matrix.db
Cleanup Remaining • Obviously delete all *.redx files • Clean recycle bin • (if hardcore remove) use a special ‘secure delete’ program to delete files (http://www.howtogeek.com/72130/learn-how-to-securely-delete-files-in-windows/)
