  7. At minimum:Beginning & End of Event

  8. Event Admission

  9. Event Admission Must be FREE for CSUF students You may CHARGE non-CSUF students

  10. Entrance Fee Profits Any monies collected from the event must not exceed the amount needed to cover the event costs. Any excess money that exceeds the amount allocated from AICA must be returned to AICA.

  11. Original Receipts

  12. Original Receipts ASI only reimburses original receipts. Credit card receipts submitted must include the itemized bill. Photocopies or duplicate copies are not permitted. Keep all receipts and keep all monies accounted.

  13. Do NOT make your own invoices. Vendors need to provide all documentation.

  14. Services

  15. ALL Services require at minimum a W9

  16. ALL Performers require at minimum a Standard Agreement form

  17. ALL service related paperwork required at MINIMUM 1 week prior to the Tuesday before your event.

  18. Travel

  19. Travel A maximum of two person from your club may attend a conference. Attendees should not be graduating during the academic year. Three hotel quotes, three travel quotes.

  20. Contracts, Fees, and Rentals

  21. Contracts • SPEAKERS • AICA does not fund gifts or CSUF faculty. • The honorarium should cover travel, lodging, parking, etc. • Three quotes, unless they are an expert in their field. • PERFORMERS • AICA funds up to $500 for DJs per event.

  22. Food • AICA does NOT fund: • Full meals • Serving items • Social gatherings without verifiable cultural content • AICA funds: • Cultural and ethnic food up to $750 for one major annual event. (more than 200 guests) • $400 for smaller events • Three quotes

  23. Rentals • AICA funds • Costume rentals/ traditional dress • Decorations • All non-consumable items must be returned to AICA • Event managers, ticket sellers, security and campus police. • MUST HAVE TSU RESERVATION WITH PROPOSAL • Off-campus venue rentals • 20 miles from campus
