  1. Patrons with Bills Quick Reference Guide to Workflows Reports

  2. In the Reports Group menu click on Schedule New Reports. The default Set Session Settings screen will appear. The Page length and page width can be adjusted to save paper when the report is printed. After any changes are made, click the OK button at the bottom of the screen.

  3. When the OK is button is clicked, the Display Template Reports screen appears. Click on the Patrons with Bills report and click the Setup & Schedule button at the bottom of the screen.

  4. When the Setup & Schedule button is clicked the report setup screen is access with the Basic screen displayed. The other screens are access by clicking on the tabs across the top. On the Basic screen the user can rename the report to descriptive of the report being run, i.e. date, etc.

  5. Here the Title has been changed to “Users with bills – last activity date 5/1/07.” When the changes have been made, click the User Selection tab at the top of the screen.

  6. The User Selection screen contains options to limit the report be User category 1, User category 2, and Last activity date. (User categories 3 and 4 are not used and User category 5 is for Cybermobile stops). Use the Gadget next to each category to select any desired limitation.

  7. When the Gadget is clicked the Gadget: Category 1 screen appears. At the top are “radio buttons” to select included or excluded categories are to being selected. Highlight the category(s) from the List to choose from box on the left, then click the Arrow to insert that category in the List selected box on the right. Click the OK button.

  8. The category(s) appear in the appropriate box on the User Selection Screen. You can select the user category 2 option if the user wishes to find patrons from specific geographic areas for the report. The default library for all reports will be determined by the library logged in.

  9. No User category 2 limits are needed for this report so the Gadget for Last activity date is clicked. The Gadget for Date Range screen appears and the Before button is selected. Then the Gadget for the “use data for the date before” range is clicked.

  10. When click the Gadget: Calendar screen appears. Use the arrows to move the calendar to the desired month and click on the specific date to highlight it. Then click the OK button.

  11. The selected date appears in the date box of the Date Range screen, click OK.

  12. The date with the “less Than” symbol appears in the Last activity date box on the User Selection screen. Now click the User Status Selection tab.

  13. On the User Status selection screen the report can be limited by the Delinquency status and/or an estimated fines limit using the Gadgets for each. .

  14. Clicking the gadget next to Delinquent status box displays the User status screen. Here the user can select user statuses to include or exclude by highlighting the desired status(es) in the List to choose from and using the arrow to move them to the List selected box on the right. Then click the OK button.

  15. When the estimated fines gadget is clicked the Amount Range screen appear. The user can select an amount greater than, less than or a range of amounts to limit. Click OK.

  16. After selecting any User Status limitation for the report, click the Sorting tab.

  17. The Sorting tab screen has two options for sorting the report, user ID or user name. Highlight the desired sorting method and click the Print User tab.

  18. The Print User screen allows the selection of User Information, Bill Information,Charge Information, and Holds Information to be printed on the report. Using the select boxes and radio buttons select the data fields to be printed on the report.

  19. If the user chooses the address feature the Address entry gadget can be selected to choose the exact patron record fields to be printed.

  20. After selecting the print elements for the report the user can either click back through the tab to check the selections and make further changes or click the Run Now button.

  21. When the Run now button is clicked the Schedule New Reports screen appears. Here the user can choose to Schedule another report or Display the list of Finished Report.

  22. If the Display Finished Report button is clicked the screen with the list of finished reports is displayed. It may take a few minutes for the report to be completed. Click the Refresh Reports List wizard. Highlight the report and click the View button

  23. When the View button is clicked the View Finished Reports screen appears. The user can select to include the log, the results and format the report. Click the OK button.

  24. Workflows will automatically open Microsoft Notepad and display the report. If the log was selected to print it will list all of the user’s limits selected for the report.

  25. Further down the page in Notepad the report itself will be displayed. This report can then be printed or saved to the computers hard drive by clicking File at the top of the screen and selecting the Save as feature.
