Outreach – acquisition of CVs and biosketches • Establish a workflow – can include input from stakeholders • Identify contacts at the department, division, school-level • Refine your message – clear and concise is best! You can use established VIVOs as an example of “what could be” • Follow-up and keep them involved – let them know when their materials have been added to your VIVO
Outreach – providing user support • There are a number of ways that support can be accomplished. • Some institutions choose to wrap VIVO support into current support desk activities that are ongoing for other IT efforts on campus. • You may also consider providing regular training events for your campus related to profile editing and open Q&A sessions. Every institution/organization is different – with different resources and established work flows. User support can be provided by liaison librarians, the IT help desk, the help desk for the bioinformatics core, by a designated VIVO team member, and so on. Feel free to find a solution that works best in your environment.
Outreach– establishing a local advisory board A local advisory boards can help identify priorities and facilitate the adoption of VIVO within an organization. Some tips: • Identify your stakeholders and involve advocates and challengers to build a robust, diverse advisory group in terms of expertise, interests, and career position. • Be clear about what you expect from someone if they should choose to accept your invitation to join the advisory board – time required, meeting schedule, the objectives, challenges, current state of the project and current goals. • Keep an open line of communication; finda way to communicate with your advisory board and use it! Many groups have used listservs and wikis – but you should feel open to identify a solution that works in your environment.
