  2. When to Use Conference and When to Use Non-Conference Schedules ONLY Use Conference to Create schedules *If* you are a commissioner or AD creating the District schedule for ALL schools in your District.

  3. For the Northern Region, when reading this whole PowerPoint, substitute the word Region for District.

  4. When to Use Conference and When to Use Non-Conference Schedules Use Non-Conference to Create schedules in ALL other cases.

  5. When you create a schedule, make sure to: Use the Gender Designation set up by the VHSL for each activity. See Next Slide. Make sure to check this off

  6. If this is a District Game, make sure to check off “Conference” So it shares to the other school’s schedule. IMPORTANT NOTE: After saving a game, you can’t change it’s Conference or Non-Conference designation. You have to delete it and re-enter the game if you need to change this. NOTE 2: Even if it is a non-district game but it includes one or more district schools, save it as a conference game to get the sharing to the other district school’s schedule.

  7. When you are ready to publish your schedules to the public, just turn them to YES and then Save Changes.

  10. Here are examples of misusing Gender. According to the VHSL list, gender should have been Boys or Girls for Cross Country, so the use of N/A is incorrect here. If there are duplicates as shown here, just delete the incorrect schedule. Incorrect Gender Designation. Since there is no Boys Field Hockey, Gender should be N/A. This is an easy one to fix.

  11. If you choose Gender incorrectly, as with Field Hockey here, you can fix it (as long as there isn’t already a schedule with gender set the correct way like in the Cross Country example above). Just click this link, change the gender to the correct one and click Save and Exit. If it tells you the worksheet already exists, you have to delete the other schedule first before you can change this one.

Q: What do I do when I am trying to create a schedule and it says the Worksheet already exists?A: This means that a schedule that matches your Activity-Gender & Level has already been created for this season, so rather than creating a new one, just back up to the list of schedules and Edit the already existing schedule. Q: What do I do when I am trying to editone of my games and it says I don’t have Permission?A: We are going through and setting all of this for you now to make it easier, but in case you encounter this before we have a chance to get yours set up as needed, here is how you can fix it immediately. With District Events (called Conference events), there is “ownership” in them that, by default says that only the person who first created that game can edit it. Why? Many Conferences work this way (think about a commissioner who’s job is to maintain the Varsity schedules for the entire league), but for Virginia schools, since you work differently, here is how to release permission so all schools can edit their own games right from the start. See next slide…

  15. NOTE: This is a one time set-up and should be done AFTER you create your first schedule. 2) Click on Edit for Subadministrators for Seasons Worksheets (which are Conference Schedules) Click into the Permissions Tab.

  16. 3) Click on Add Subadministrator and then move to the next slide.

  17. 4) Check this box 5) Leave the rest blank, Then click Continue

  18. This just set everyone up to edit any of their District games even if written by someone else, but only AFTER they are published. Since you are all working to get schedules in this summer, we also want to let you edit these games BEFORE they are published to make it easier. 6) Skip down the list to the first REAL person on the list, and click Edit on their record.

  19. 7) Choose this person’s school here. 8) Leave this set to ALL 9) Check off ALL 10) Check off Email 11) Click Save.

  20. 12) Move down to the next person on the list and repeat steps 7-11 for all administrators. Continue through the entire list of administrators. This is a ONE TIME SET UP . If a new administrator is added to a school in the future, you will want to come back and set them up the same way so they too have permissions to edit any District games they are involved with both BEFORE and after publishing to the public.

  21. Q: What do I do when I am trying to editone of the games I know I put in myself and it says I don’t have Permission?A: This only happens if you haven’t set up your Activity Parameters under the Set-up area. See next slide…

  22. 1) Click into Set-up

  23. 2) Click into Define Activity Parameters

  24. 3) Click into Edit for the first activity listed here.

  25. 4) Choose the name of your High school, then click Save & Exit. Note: There is a lot more this screen does, but since the purpose here is just for solving this permissions issue, this will suffice for now.
