  1. HAC/TAC Honors and Awards Eligibility Discussion Sanjay Garg

  2. Issue & Recommendation • Issue:Different eligibility requirements for different level of “office” holders within AIAA and different award categories • TC members eligible for Technical Awards sponsored by their TC two years after they leave the TC • Publications Committee members eligible for awards sponsored by their committee two years after they leave committee. • AIAA Board of Directors members eligible for awards after their term of service expires • No eligibility restrictions for some other awards which are presented by various other committees and potentially can be given to current committee members: eg. Per award description - Some Education Awards such as the Faculty Advisor Award and the Abe M. Zarem Faculty Award etc. • Section awards are exempt from eligibility requirements. • Recommendation:Establish uniform eligibility criteria across all awards and applicable to all levels of AIAA “office” holders • This will help avoid confusion regarding who is eligible for what award and help further ensure the integrity of the awards process

  3. Suggested Eligibility Wording • Members of any AIAA Committee or group which is the sponsor of an award are not eligible to be nominated for the award until one calendar year from the date of the end of their membership in that Committee or group. For example: • TC members eligible for nomination for Technical Awards sponsored by their TC one year after the end of their membership in the TC • Members of History TC and Publications Committee are eligible for nomination for their committee’s sponsored awards one year after the end of their membership in the TC • The Board of Director members may not be nominated for any Honors and Awards until one year from the date of the end of their membership in the BoD • Any Deputy Directors may not be nominated for a Honor or Award which is sponsored by a committee under their purview until one year from the date of the end of their term. For example: • Technical Group Deputy Directors are eligible for nomination to Technical Awards which are sponsored by a TC within their group one year after the end of their term • Section Deputy Directors are eligible for nomination to Section Awards one year after the end of their term

  4. Suggested Changes in the Award Guidelines Document • If the previous recommendation is acceptable in the suggested or some modified form, then it is suggested that the “Who can be Nominated?” section in the Award Guidelines Document be modified as follows: • Replace the Section title with “Nomination eligibility requirements” • Leave the first 2 paragraphs intact and replace the remaining content of this section with the accepted language for the modified eligibility requirements • Add the following to the end of this section: “Nominators are requested to contact the AIAA Awards Manager prior to proceeding with the nomination to ensure that their nominee meets the eligibility requirements. Any waivers from the published eligibility requirements will require approval from the appropriate Award approving official (eg. VP Technical Activities for Technical Awards) prior to nomination preparation and submission. When requesting a waiver, the nominator will be expected to provide documentation on any unusual circumstances that will justify waving the requirements.”
