  1. Importing Your Roster Into OutlookDecember 2015Tara Thomastcstaff@ashrae.net

  2. Downloading Your Roster • Click on the link to be directed to our website www.ashrae.org/myactivecommitteesin order to download the roster. You will be asked to log in. • Locate the current roster - you will need to download the “Action(outlook)” version.  This includes the most up-to-date information for members on the committee. • Once you have identified and selected the correct report, you want to select open. • From the opened file, save as CSV (Comma delimited) (*.csv) somewhere where you can find.

  3. Go To Outlook • Go to outlook, select “People” tab (at the bottom of your screen) • Go to folder and create a new folder to save the imported data • At the top of the page, select File, then Open & Export, Import/Export

  4. Import and Export Wizard • In the import and export wizard, select from another program or file.

  5. Specify your file • Select Comma Separated Value

  6. Importing your file • Import the file – If this is a new group, I would select “do not import duplicates” but there shouldn’t be any duplicates.  If you are updated a group, I would select replaces duplicates with items imported (to make sure you have the most current information) • Select the destination folder – This should be the folder you just created to save the information imported • Final step – Select Finish.  The information should map properly.

  7. How To Create A New Group • Select the “People” tab in Outlook • New Contact Group • Add New Members from Outlook. • Select address book and find the folder that your new contacts are stored in. • Once you have located the folder, select all the names at once • (You may have to select the first member then scroll to the last member, hold down the shift key and select the last member), and then select the members’ option just below. This will add all the members to the new group at once. Save – Close – Complete
