Conference Planning This module has been developed to assist West Virginia Department of Education employees with conference planning. Financial Paperwork • Event Checklist – this form should be completed and returned to the event planner in Room 204. The event planner will make accommodations and return all financial paperwork to your office for signatures. Financial Paperwork • Workshop Form – The event checklist will commit the funds to pay for all hospitality needs of your workshop. To commit funds to pay for guest speakers, teacher stipends, and service agreements, you must complete a workshop form of estimated expenses and submit it to the finance office.
Who do I invite? • If you are hosting a large conference, it is always appropriate to invite the state superintendent of schools and the state board members. Other suggestions include the assistant superintendent in your division as well as your executive director.
How do I invite special guests? • To invite the state superintendent of schools to your conference, send a letter of invitation addressed to Dr. Jorea M. Marple, Room B-358, or email your letter to dvermill@access.k12.wv.us. • To invite members of the state board of education, send a letter of invitation to the members’ home addresses. Also notify the state board secretary about the event by emailing vharris@access.k12.wv.us. Download home addresses
