Election Task Force • Task: To recommend for BOD approval, election rules and procedures to ensure fairness and the integrity of the election and election process. • Members: • Debi Bacon, BLR, Chair • Isabel Fleisher • Keith Long • Phil Schneck • Ken Walsh • Tonja Flanagan, Ad Hoc Management Representative

  3. Election Committee Task: To conduct a fair election, review the process and recommend election rules and procedures to the BOD. • Members: • Debi Bacon, BLR, Chair • Phil Schneck • Ken Walsh • Gerry Conklin, BLR Member • Tonja Flanagan, Ad Hoc Management Representative

  4. Election Committee • Election Committee will manage the entire process • Allows TF to validate the process • A standing Election Committee will do this in the future • Have signed impartiality/confidentiality oath • May not actively campaign or express preference for any candidate

  5. Candidate Information • Only Association members in good standing may run • Current on HOA payments • No outstanding violations • Residency requirement – Closed by July 7 • Candidates must: • Complete a candidate self nomination form and return to Retreat • Prepare biography/platform information • Abide by campaign rules • Attend an Orientation Meeting • Participate in two Candidate Forums (optional)

  6. What if only have one candidate? • Election will still be conducted • CC&Rs require an election • If this is the case • Please vote! Valid election requires a quorum of 20% - 50 houses! • Candidate will be asked to participate in all of the process • EC needs to validate the process

  7. Voter Information • Ballots will be mailed: • on August 1st • to every house • to address on File • Not home during August 1-22? Notify Community Manager of different address • Return ballots by mail or in person at The Retreat until 5:00 p.m. August 22

  8. Campaign Events • Meet the Candidate Forums • Wednesday, August 7, 6:30 p.m. • Saturday, August 10, 1:00 p.m. • Moderated with advanced and Resident questions • Refreshments and opportunity to mingle with candidates after • Clubs, Groups may invite candidates to speak • Must invite all candidates • Must ensure all candidates are treated equally

Campaign Events • Private Gatherings • Invite a candidate to your home • No restrictions on what you do in your own home • Campaigning • All campaign materials approved by EC • Haven Herald ads in August edition • Election Bulletin Board • Flyers may be distributed to lower mailbox • Candidates may campaign with buttons, banners, etc. within guidelines for Association (at the Candidate’s expense)

  10. After the election • After the election: • Candidate takes office at the first BOD meeting after the election • One of only two instances where the BOD will serve longer than two years • All other future BOD members will be elected at the beginning of the calendar year for a two-year term • BLRs will no longer serve once this Resident is elected

Timeline • Candidate Filing Packets available June 3 • Candidates return self-nomination NLT July 5 • Qualified Voter List cut off July 7 • EC qualifies, notifies candidates July 8 • Candidate Orientation meeting July 9 • Official announcement July 10 • Campaigning begins July 23 • Ballots mailed August 1 • Meet the Candidate Forums August 7, 10 • Deadline to vote August 22, 5:00 p.m. • Votes tabulated August 23 • Candidate takes office September 1
