  2. INTRODUCTION OPERATION SMART is business operational management system that contains modules best suited for the operational sector of any business. It hosts functionality the surpasses maintenance, projects and resource management by including such modules as document management, help desk, asset management, contract management, instrumentation registers, fixture registers, energy grid maintenance, human resource management, customer relationship management, sales management and several more features in support thereof. The application is also 100% customisable at anytime. The slides to follow are just a few of the modules available in the application.

  3. Maintenance & Facilities • CMMS: All the features of top class maintenance software except: • Maintain to 21 levels • Schedule to 14 levels including reading for assets and instrumentation. Unlimited maintainable item linking to one service; • Ad-hoc services to 21 levels including unlimited asset and instrument linking; • General work description and allocation to very advanced work description with unlimited resource linking; • Failure, causes and corrective action quick capture with failure to corrective work order generation; • Work orders can link to the project register, contract register, external services register for better work bundling; • From work request, to work order generation to work order closure in less than 1 ½ minutes; • From general work order creation to closure the user only has to enter 14 entries and the system will in turn auto-populate more than 40 entries, thus minimising human intervention but maximising history consumption for future reporting purposes; • Links to 2 different hierarchies, one for facilities and factories and the other for urban infrastructure.

Project Management • High to low level project administration, planning and management mainly consisting of: • Full project registration; • Document links, document batch creation, transmittals, SLA manager, document configuration and auto-directory creation for storage and revision management; • Feasibility and needs analysis, project budget, meeting register, variation requests and competency reviews; • Tasks, activities, vendor and resource management, material management, special instructions and additional expenses (links to work orders when creating smaller work bundles); • Project office setup, staff in office, assets in office, team, stakeholders etc. • Project group generation. This is to specify the group type involved with the project such as engineers, IT personnel etc. • Project scope bundling by linking several tasks together to work orders thus minimising task and activity traceability and updating process; • Purchase order linking, earned value, advanced project value totalling, risk warnings, risk bench marking and more…

Document Management • Document template entries categorised by document medium; • Document generation from template categorised by document category and document type; • Initial link to company, site and/or project; • Documents can be selectively linked to over 30 registers (screens) throughout the system; • Document revision management; • Document workflow management; • Document Server auto-directory creation and filing; • Create revision for trial editing and replace after approval; • Document replacement function for previous existing documents now needing to be managed by the system; • Document transfer to local drive for off-site editing;

Customer Relationship Management • Advanced registration by company, sites (unlimited) and contacts per site (unlimited); • Call report entries and reviews, work order list filtered to company and site, linked documents, Special actions taking capturing, failure list linking and training capturing; • Hierarchy linking for maintenance, document management, projects and more; • Company evaluation; • … and more …

Human Resource Management • Full resource entries as in any HRM application which also includes: • Advanced CV capturing for profession type searching, skills identification, skill strengths etc. • Training registration (SAQA based), link and revise CV’s, link unlimited documents, document batch creation (contracts, policy and procedure generation etc.); • Performance monitoring; • … and a lot more …
