  3. Review Objectives • Are the general requirements for NCSX documents and records appropriate? • Have the appropriate documents and records been defined? • Are the specific requirements for each document and record type appropriate?

  4. Intent of Plan • Defines the official Project specific documents/record needed for design and fabrication phase • Also defines for each record type • Purpose of the record • Content of the record • Format of the record • Review and approval levels • Record retention requirements • File/Document naming convention

  5. Relationship to DOE and PPPL Higher Level Plans • DOE Order 200.1 specifies document record types and retention requirements • PPPL Policy P-015 (Records Management) and GEN-023 (Records Management) flow down DOE requirements to PPPL • NCSX Data Management Plan and Configuration Management Plan outline specifics of retention, protection, preservation, revision traceability, accountability, and retrievability of these records

NCSX Files are Mostly Electronic • With only minor exceptions (e.g., hard copy vendor submittals, NCRs, etc.) NCSX project files will be maintained on several electronic file servers • NCSX Engineering Web Page (majority of documents) • Pro/INTRALINK file server – for drawings • Several FTP servers • NCSX will have only limited use of PPPL Operations Center services

Nine Distinct Record Types Identified • Project Definition Agreements (AEP) • Project Plans and Procedures • Project Requirements Documents (Specs) • Design Support Documentation (Drawings, ICDs, Calcs, Design Memos, etc.) • NEPA Documentation (EA, JHA’s, SAD, etc.) • Quality Assurance Records (Audits, NCRs, etc.) • Training Records • Procurement Deliverables (Vendor deliverables, SOWs, etc.) • Other Records (Memos, WBS Dictionary, Cost and Schedule Documents, etc.)
