  2. The Punch Out Catalog System • The Punch Out shopping catalog for West Press takes the user directly into the vendor’s website and online catalog while remaining within Arizona BuyWays. • All browsing, shopping, real-time inventory lookup and pricing are done from the vendor’s website and their catalog. • When finished shopping and putting items into a shopping cart, all the information is automatically transferred back to Arizona BuyWays for requisitioning, account code distribution, shipping information, approving and creating purchase orders. • West Press is located under the Office/Computer Category for Arizona BuyWays.

  3. West Press Home Page • On the Home Page, you can access the product catalog, view a current or saved shopping cart, search order status or view contact information. • To begin shopping, click on one of the item categories; Letterhead, Envelopes or Business Cards.

  4. Browsing the Catalog • After selecting a product category, search results showing available products will be displayed. Click on the product name to order. • **NOTE** Rush orders are available for an additional $50 fee.

  5. Placing an Order • Populate the employee or Department information in the fields provided. **NOTE** Once an order has been placed for an employee, that employee’s information will be saved on the West Press site under your AZBW User ID. The information will be saved by employee name and located in a pull down format at the top of the product data entry screens. To select a saved employee, highlight the name and click Apply. The saved information will pre-fill into the screen.

  6. Placing an Order, cont. • Click Refresh Item Preview to update the displayed product image. • Click on View PDF to review and confirm your order.

  7. Placing an Order, cont. The image will appear in a pop-up window. Verify all information is correct and then close the window. If the information is incorrect, close the window, update the data, click refresh item preview and View PDF until the product is correct.

  8. Placing an Order, cont. Click on View for a list of current pricing. Select a Quantity. Quantity comes in number of cards per box. Click Add to Cart. In the cart, you can Edit, Save, Delete or Order your selected items. To complete the order, select Order Selected Items Now and click GO. Click Transfer Cart to return the order to Arizona BuyWays.

  9. Approvers should view orders from West Press before approving a requisition. • To view the proof of the product from the Arizona BuyWays requisition: • Click View Items located above the product description. AZBW will return to the West Press site to view the proof. • Click on the part number to view. • Close the window when finished; click cancel punchout to return to Arizona BuyWays. Approvers may need to modify an order from West Press before approving a requisition. • To modify the proof of the product from the Arizona BuyWays requisition: • Click Modify Items located above the product description. AZBW will return to the West Press site to modify the proof. • Select Edit Selected Items and then GO. • Click on the part number. Modify an Order from the AZBW Requisition

  11. Make changes if necessary and click Refresh Item Preview. • Click View PDF to proof then close the window. • Click Save Changes. • In the check out screen, click Save Changes again, then check out as normal. Modify an Order from the AZBW Requisition, cont.

  12. Order Status • To view the status of an order from the Home Page of West Press, click on Order Manager then Order Status. • Select search criteria from the search field pull down menu (Order Number, Part Number, Description or Status) to display past orders. Narrow the search by date range if desired. • Under the Status column, click on the link name of the status (New Order, Order Accepted, Work in Progress or Shipped) to view detail. • Print or close the window when done.
