  13. Letter to Parent August 20, 2002 Dear Parents of Fifth Graders, We will be taking our fifth grade trip to the Outer Banks. The dates are Wednesday, October 23 through Friday, October 25, 2002. It is our goal for every fifth grader to go on this trip. All students will be allowed to go if they have parental permission. Financial hardship will not permit any student from going. This trip ties directly to the fifth grade standard course of study in science and makes the curriculum come alive. It is an experience the students will never forget. At this time, we do not know the exact cost of the trip. Based on last year’s trip, we think it will be around $250.00. This includes lodging, food, transportation, and all tours. It also includes three t-shirts and a jacket. We do plan to do some fundraising for parents who are interested. We will need to let the tour company know by a certain date the number of students who will be going. Then we will know the exact cost of the trip. We will be taking some parents as chaperones. We’ll know the number when we have an accurate count of the students who will be going. CHAPERONES WILL BE CHOSEN BY LOTTERY. At present the following staff members will go on the trip as chaperones: Mrs. Dees, Mr. Vorbroker, Mrs. Tussey, Ms. Harris, Mr. O’Neal, Mr. Brown, Mrs. Turner, Ms. Heyer, Mrs. L. Davis, Mrs. Foster, Mrs. Parnell, Mr. Carmichael, Mrs. Wham, Mrs. Glass, Mrs. Stone, Mrs. Lippard, Mrs. Campbell, Mrs. Benninger and Mrs. Bostian. Please take some time to think about the trip. All intent forms ARE DUE BY TUESDAY, AUGUST 27, 2002! A $50 non-refundable deposit will be due by Friday, August 30th. General Information 2 • Dates: Wednesday, October 23rd through Friday, October 25th, 2002 • Cost: $250 per child, which includes: • Round trip motor coach transportation • Two nights lodging • All tours • All meals (except for one bag lunch on Wednesday), including • (2) Continental breakfasts • (2) Lunches • Buffet dinner • Fast food meal on trip home • Admission ticket to Tryon’s Palace • Security guard each night • (3) field trip T-shirts • Jacket • The total cost of the trip has been based on the initial interest survey that was completed several weeks ago. If fewer children actually attend, the cost of the trip may be adjusted. The cost of the trip will be lowered after the various fundraising opportunities take place.

  15. General Information Clothing: Students will be given three special T-shirts to wear on designated days. For example, red on Wednesday, white on Thursday, and blue on Friday. In general, students should wear casual clothing. No umbrellas are permitted. Shoes should be comfortable. Luggage: Only one piece of luggage per student/chaperone. Students will carry their own luggage. Meals: Each student is to bring a bag lunch (for Wednesday), including a beverage. All other meals are provided as indicated above. Personal items: Students may NOT bring radios, Walkmans, video games, etc. Rather, students are encouraged to bring personal books to read on the bus. (Videos will be available for viewing on the bus.) Cameras, jackets, purses, etc. should be labeled. Since these are school days, students should bring two pencils—a notebook will be provided for note taking. Students are responsible for their own belongings. Phone Calls: Students must have written permission from parents in order to call home. Please do not ask that your child call home each night that we are gone. Our schedule is very full; we do not return to the hotel until 9:30 pm or later. Medications: While on our trip, students may NOT take medication without written parental permission (see the Medical Form). Nurse chaperones will keep student medication and will administer it only as directed by parents on the Medical Form. Students may NOT have medication in their possession.

  16. Packing List • One suitcase please! • comfortable walking shoes • three or four pairs of jeans/shorts (Last year it was really warm.) • three Vienna Outer Banks t-shirts • Vienna Jacket (for students) • underwear • pajamas • jacket that can be worn if it rains • an extra pair of shoes • socks • shampoo, soap, deodorant, brush or comb, etc. • back pack with pencil, notebook, a book to read, cards, or other travel games inside • pillow (optional) • stuffed animal to sleep with (optional) • souvenir money ($50.00 maximum) • camera and film- (Optional) Please make sure you send plenty of film. It is very expensive in the gift shops. • Sweatshirt • bag lunch and drink for the first day (no lunchboxes please, we want to throw away everything after we eat) • HAND HELD ELECTRIC GAMES, CD PLAYERS, AND CELL PHONES ARE NOT ALLOWED. • BRINGING SNACKS AND DRINKS FROM HOME FOR THE BUS IS NOT ALLOWED. • PLEASE LABEL ALL CLOTHING AND YOUR SUITCASE!

  17. Deadlines Prior to Thursday, September 20 - $50 deposit paid for Outer Banks trip. Money will be transferred to the account for the Outer Banks trip. September 20, 2002 - Meeting with parents regarding the Outer Banks trip. Information regarding Pepsi fundraiser to go home tonight. Proceeds from this fundraiser will benefit children who participate. September 21, 2002 - New permission slip to be turned in to classroom teachers. September 26, 2002 - Multi-vendor sale at West Central Community Center, 10 a.m. to 2:00 p.m. and 5:00 to 7:00 p.m. Proceeds will benefit all fifth graders going on the trip. October 3, 2002 - All Pepsi orders and money must be turned in to receive credit for the Outer Banks trip. ALL ORDERS MUST BE PREPAID. NO EXCEPTIONS. October 5, 2002 - All medical forms, behavior contracts, and second deposit due. The second deposit amount is $75. October 12, 2002 -Information sent home with adjusted cost of the trip from proceeds from multi-vendor sale and the Pepsi fundraiser. October 13, 2002 -Pepsi products delivered to the school. Please pick up your orders between 10 a.m. and 1:00 p.m. October 19, 2002 -Balance due for Outer Banks trip.

  18. Fundraisers September 17, 2002 Dear Parents, Beginning tomorrow, we are offering two fundraisers for our fifth graders going on our trip to the Outer Banks. We will be selling Pepsi products beginning Wednesday, September 18. We’ll sell cases of Pepsi products for $11.00 each. Each student will receive $4.25 for each case that they sell. Money will be collected as orders are taken and the delivery date will be on Saturday, October 5th from 10:00 until 12:00. The second fund raiser is being offered by Dean Chavis of Dean Chavis Photography. Mr. Chavis has put together a special fund raising package to help with our trip. Students will sell the package for $25.00. This is the sitting fee for a photography session. This includes the six original pictures he takes. Then packages are offered for purchase. Of the $25.00, the student will receive $12.50. We have reserved a November date as one of the times pictures can be made. Pictures will be back in time for Christmas. More details will follow on this fundraiser. Please decide whether or not you would like for your child to participate in one or both of the fundraisers. They are both excellent opportunities for your family to raise money for the trip. It is also an excellent way for your fifth grader to earn some of the money showing responsibility.   24. Medical Information Nurse 1 and Nurse 2 are the two parent chaperones on our trip that are registered nurses. They will administer all medication to students. In our first aid kit we will take children’s tylenol, medicine for an upset stomach, bandaids, etc. Perscription medicine for your child should be sent to the school on Monday, October 21. It must be in the original bottle that shows the amount to be administered and how many times a day. Please fill out the form below concerning medication.   25. Phone Tree In the event that we are delayed coming home from the Outer Banks on Friday night, we will use a “phone tree” in order to inform parents of the time we will arrive. In years past, we have often gotten into traffic in the Raleigh area and it’s taken longer to get back to Pfafftown. Please fill out the form below with the information we will need to contact you.   26. Agreement Form Please read and discuss these rules at home and return the following form. To: Parent/Guardian I have read the enclosed information about the Outer Banks trip. I will see that my child reads the information and that he/she understands his/her responsibilities for the trip and the consequences of misbehavior. I will assume responsibility as indicated above if necessary. I release and waive, and further agree to indemnify and hold harmless, the Board of Education, the individual members of the Board, its agents, employees and representatives, as well as trip supervisors and chaperones, from and against any and all claims which I, any other parent or guardian, or the student, may have or claim to have, known or unknown, directly or indirectly for any losses,damages, or injuries arising from, out of, during or in connection with the student’s participation in the trip or the rendering of emergency medical procedures or treatment, if any. ________________________ Parent/Guardian Signature To: Student I have read the enclosed information and I will abide by the rules and regulations for this trip or accept the consequences.   27. Behavioral Expectations 2 • While this field trip is going to be a fun experience for everyone, we all need to remember that this is not a vacation. These are school days just as much as if we were in our classrooms at Vienna. Therefore, all school rules remain in effect for this trip. Since this is an overnight field trip, some special rules have been put into place. Remember, you will be representing not only Vienna Elementary School but your family, community, and most importantly, YOURSELF!

  28. Behavioral Guidelines 3 • For safety, students must remain in their seats on the bus and talk with their neighbors only. • Students are responsible for all of their personal items (wallets, spending money, purses, cameras, etc.) throughout the trip. • No personal stereos, radios, Walkmans, or video games will be permitted on the trip. You are encouraged to bring a personal book to read on the bus if you prefer. • On tours, students will be expected to: • Wear the appropriate T-shirt that was assigned for that day. • Talk only when guides are not talking. • Stay with their assigned group, and if separated from the group, follow appropriate procedures. • Conduct themselves as ambassadors of Vienna Elementary School. • At the hotel, students are expected to: • Respect the other guests in the hotel. Remember, there are other people above, below, and beside your room and they will not hesitate to call the front desk if they are disturbed by your noise. • Respect the rights and properties of their roommates. • Remain in their rooms after returning to the hotel at night with lights out at one-half hour after returning to the room in the evening. In case of emergency, students should notify their assigned adult chaperone immediately. • Phones are off limits unless you have prior written permission and are accompanied by an adult chaperone. • While dining, students are expected to: • Respect the rights of others dining. • Talk quietly while in the restaurant. • Use appropriate table manners. • At all times, follow directions from any of the teachers and chaperones.

  29. Procedures When Separated from your Group 4 • Don’t panic! • If possible, find a security guard or police officer for assistance. • If you meet another group from Vienna School, have the adult chaperone contact your group as soon as possible.

  30. Behavioral Consequences • There will be severe consequences for those who fail to follow the stated rules. • If students fail to follow rules while on tour, they will be immediately escorted to the bus by an adult chaperone where they will remain until the end of the day. They will be responsible for instructional assignments while waiting. • If a student’s behavior warrants it, his/her parents will be called to explain the problem and to talk with the child. • If a student’s behavior is dangerous to him/herself or others, his/her parents will be called and arrangements will be made for the student to be sent home by commercial bus at the expense of the parent.
