  2. Background and Training Survey Objectives 227 respondents replied to 14 questions in a survey sent out to managers, payroll coordinators and time keepers in May 2014. The Objectives were: • Determine how familiar distributed users are with BUworks Help documentation • Review what users like and dislike about the BUworks documentation • Ascertain what training method would work best for BUworks users

  3. What is BUworks? BUworks is Boston University’s implementation of SAP, which provides the integrated administrative tools and processes needed to support different business functions at the university. Business Functions include: • Human Capital Management (HCM) (OM, PA & Payroll) • Finance and Accounting • Supplier Relationship Management • Business Warehouse Reporting

Training Survey Questions • Are you aware that BUworks online training documentation can be found at http://www.bu.edu/buworks/training/ ? • How often have you used the online documentation? • Whatdo you use BUworks online documentation for? - OM & PA forms, Time Management, Finance, Goods & Services, BW Reports or other purposes? • What is your preferred training tool? - Process Guides, Quick Reference Guides, Work Instructions, Context Sensitive Help or Simulation? • How effective is the current documentation in your view?

  12. 32 respondents replied to What aspects of the documentation do you find useful? • The Organization of the documentation in Process Guides/QRGs • The combination of text and visual screenshots is helpful • The information in Quick Reference Guides is concise and easy to follow • Once the document is located, the process is clearly laid out

  13. 25 respondents replied to What are pain points in OM and PA forms? • Search capabilities are not very intuitive • Little documentation on “what” to enter into the forms • Sometimes instructions are outdated • Problems with opening in my browser • Does not always address different scenarios • Cannot always see the progress in the approvals • Summary charts needed – sometimes instructions are too long

Conclusion • Majority of the user community knows the existence of online documentation for BUworks • They find the documentation is somewhat effective • Quick Reference Guides and Process Guides are the popular tools currently available • Step by Step Instructions and face-to-face training are the preferred methods of training

Next Steps ? • Creation of a HCM Training page that gives users easy access to step by step instructions http://www.bu.edu/buworks/hcm-training/ • Creation of training environment so users can practice data-entry on the OM & PA forms • Event-based/Scenario-based face-to-face group training sessions at Charles River and Medical School campuses • Updates to online documentation especially Quick Reference Guides(QRGs) to ensure they are accurate • Send out a training newsletter each month with a Training Calendar • “Lync” meetings to help individual users (ability to share desktop) • Monthly face-to-face training.
