To understand how your club can qualify to receive District and Global grant funds • To understand the difference between Global and District Grants • To learn more about the 6 areas of focus 4. To understand where grant funding comes from and its tie to Rotary Foundation donations • To learn how to apply for District and Global grants • To understand how to complete the District Grant final report 7. To learn what stewardship is 8. To know where to go if you need more information

  4. 1. Qualification

  5. How can your club qualify to receive grant funds? • Send at least 2 members to one of the Grant Management webinars this Rotary year- 2018-2019. • Submit your club’s Foundation goals into Club Central on rotary.org by July 1, 2019. • Complete the Club/District MOU that TRF and our district require.

Who should sign the MOU? • Your president for next year: 2019-2020 • Your president for the year after next – 2020-2021.* * If you do not have a president for 20-21, your next year’s president can appoint a member as a proxy. • Snail mail the document to the District Grants Chair. Deadline for receipt is July 1, 2019. Originals are required.

Foundation requirements/policies: • Qualification is for one Rotary year. • To maintain qualified status, the club must comply with the Foundation/District MOUs. • A club steward should be appointed to maintain club qualification. • Qualification may be suspended or revoked for misuse or mismanagement of grant funds. • The club must cooperate with any financial or operational audits. TRF audits district grants periodically.

  14. 5. Grant Application: District Grants

District Grant Timeline July 1, 2019: • Deadline for District Grant Applications – limit one project application per club* • Deadline for MOU submission • Deadline for clubs to submit Foundation Goals August/September of 2019: Approval notices go out- Projects can be started May 1, 2020: • Deadline for project completion • Deadline for Final Reports

District Grant Application Form • Project description • How project will benefit the community • How your club will participate in the project • How the general public will know it is a Rotary project • If there is a cooperating organization • Project budget with estimated costs, and sources of project income. • *Maximum district request for a local Community Project is $3,000; maximum request for an International Project is $5,000. • DO NOT start your project or purchase items until approval e-mail is received.

  17. Project Funding • Your club must contribute at least 50% of the amount requested from the District. Food Pantry Garden * A club can ask the district for up to $3,000 for a local project or up to $5,000 for an international project.

  18. Finalizing Application • The names of two club members who will provide oversight of the project: the primary contact who is the club project chair and a secondary contact. • Have your club president (2019-2020) authorize the application. • Send it by email to the District Grants chair by July 1st. • You will receive a confirmation email that the application was received. • Only one application submission per club. • We recommend the club secretary keep copies of all of your grant correspondence.

Examples of this Year’s District Projects • Provide CPR training for 300 residents • Purchase WIFI radios for public schools • Transportation for individuals undergoing substance abuse treatment • Bicycle safety training program • Support improvements at the town senior center • Renovate the Rotary Pavilion • Provide a drone with live video to the town’s police department to promote public safety.

  20. District Grant Final Report What information do you need to complete the final report for your project?

  21. Project Description 1. Describe the project. What was done, when, and where did project activities take place? 2. How many people benefited from this project? 3. Who were the beneficiaries, how were they impacted and what humanitarian need was met? 4. How many Rotarians participated in the project? 5. What did they do? Please give at least two examples, not including financial support provided to the project. 6. If a cooperating organization was involved, what was its role?

  22. Financial /Promotional Information/Certification 1. The sources of income for your project including the amount received from the district and club funding 2. A complete listing of your expenditures. 3. Include copies of all receipts/invoices and/or cancelled checks. Retain these receipts for a least 5 years, as will the district. 4.Include copies of photos or press releases or any publicity for this project. Remember to include in your PR that your project was supported by a Rotary Foundation District Grant. 5. Have your club president sign and certify the report . Forward to the Grants Chair by May 1, 2020.

  23. 5. Grant Application: Global Grants

GLOBAL GRANTS • District Global Grant funds may be used for the following: • Humanitarian Projects that provide sustainable measureable outcomes • Scholarship – fund international graduate level study by people seeking a career within an area of focus • Vocational Training Team – builds skills within a community by supporting teams of professionals who travel abroad to build their own capacity or the capacity of the community they visit.

Open application process Can be for multiple years Include activities that clearly fit into one of Rotary’s areas of focus $30,000 minimum total PROJECT budget Address an important need identified by the community itself Strengthen the communities capacity to meet its own need – must be sustainable. GLOBAL GRANTS

  26. Community Assessment • Decide how you want to conduct an assessment. TRF offers Community Assessment Tools for several types of assessments. • You can request district grant funds to conduct a community assessment. • Identify the community need. • It falls within Rotary’s global grant guidelines • It is technically feasible • You and your partner club are qualified to address this need through your collective expertise and resources • The issues aren’t already being addressed by another resource

Project Funding Requirements • Total budget must be at least $30,000 • Minimum request from TRF is $15,000 to a maximum of $200,000. • If you are requesting District Designated Global Grant funds you must apply to the Grants Committee of the District. • Partner with a club in another country • Develop a project plan • Measure progress towards the outcome • Stay up to date in reporting for all active grants

  28. Global Grant Requirements • A minimum of 30% of contributions must come from outside host club and district • Club contributions matched 50 cents on the dollar. District contributions matched dollar for dollar • All cash contributions will incur a 5% Administration fee.

Application Process • Both clubs must be qualified, every year • Ensure that the project meets criteria • Establish a strong relationship with partner club • Submit an intent to apply with the district with your project description to DG, Dist. Rotary Foundation Chair, and the Global Grants Chair to secure District funding for the project. • Once local and partner funding is established, begin the online application process at www.grants.rotary.org

Current Pending Global Grants supported by the District Currently $27,000 of District 7890 funds for 2018-2019 is committed for the following projects: • Clean Water and Sanitation – Guatemala villages in Chajalajya and Xetonox (Manchester) • Develop Amputee car Program for underserved and underinsured in Callao, Peru (District) • Takaungu Primary School Bahari-Mombasa, Kendya • Equipment for Dolakha Mother and Child Hospital in Dhulikhel, Nepal • Maternal and Child Health Care – Equipment and Workshops in Calcutta, India • Establish a hospital-based Hemodialysis Clinic in Bac, Marinduque, Philippines

  35. Global Grant Reporting Upon Approval of Global Grant by TRF clubs must: • Establish separate account to manage funds • Progress report 12 months after funds received • Every 12 months until project is complete • Final report submitted within 2 months of project completion

  36. 6. Stewardship of District & Global Grants

  37. Stewardship Stewardship is the responsible management and oversight of grant funds, including: • Rotarian supervision • Financial records review • Oversight of funds • Reporting irregularities • Timely submission of reports

  38. Stewardship: Document Retention • Provide access • Retain for a minimum of five years • Make copies

  39. Stewardship: The Why A donor who understands that funds were used in an appropriate and responsible manner is more likely to give to the Foundation again to support projects.
