  2. Process in Sorting Department Receipt of Mail bag from Mail Agent. Scrutinising the mail pieces for revenue leakage and signs of damage or tampering. Distribution of contents of unregistered articles as under. Big size articles Medium size articles Letter Mail articles

Process in Sorting Department PRE SORTING • PRELIMINARY DUTIES •  Place the Sorting List, the Pin Code Directory and the list of Indian Post Offices on the ledge of the Sorting Case • Place a Twine ball or Rubber bands, pair of scissors and a sufficient number of check slips in an empty sorting case

  4. Process in Sorting Department PRE SORTING • PRELIMINARY DUTIES • Hang the bags on the hooks of bag drop stands for despatching mails • Prepare the tag labels for the bags to be closed • Attach proper label loosely to the ring of the bags

Process in Sorting Department RECEIPT FROM Letter Boxes: • Clear the LBs at convenient intervals • Examine and divide into first class and second class articles • Face and separate it into Fully Prepaid and insufficiently paid or unpaid articles • Stamp the Fully prepaid articles and remove it immediately to the Sorting Case

Process in Sorting Department RECEIPT FROM LBs: • Tax the Insufficiently paid and unpaid articles, stamp them and remove them to the Sorting Case • Despatch the Late fee paid letters by the next out going mail • Detain the late fee not paid letters until next despatch by stamping “Detained: Late fee not paid”

Process in Sorting Department RECEIPT FROM VARIOUS BAGS • Place the Station Bundles for onward transmission unopened in the bags for despatch. • Open the Sorting Bundles without disturbing the facing and sort the contents. • Report against the Mail Offices which do not prepare prescribed/justified Station/ Sorting Bundles to the HSA.

Process in Sorting Department SORTING • Sort the articles into the Sorting case as prescribed in the Sorting Diagram by reading the PIN code/destination of the article • First sort the articles posted in the Office LBs and then the articles received in the bags • If there is doubt about the destination/ PIN code mapping of the articles refer to the HSA or List of Indian Post Offices

Process in Sorting Department SORTING • Clear the contents of the compartment of the Sorting Case, which is full, at intervals • Examine the sorted articles to correct any error or omission to tax for Postage • Put the articles in Labelled Bundles with check slips and tie them with twine • Transfer the contents to the bags in which they have to be despatched

  10. MNOP REGISTERED, FIRST AND SECOND CLASS MAILS

  11. Introduction • Introduced w.e.f 15.02.2012 for First Class Unregistered and Registered Letter mail articles • Introduced w.e.f 22.05.2012 for Second Class Unregistered Mail (except Parcels) • MNOP for Parcels introduced w.e.f. 2.12.2013.

First Class and Registered Mails • All the 333 Mail Offices were classified as either Level-1 (L-1) or Level-2 (L-2). • Totally 89 L-1 and 244 L-2 Mail Offices under this Redesigned Network. • Each L-1 Mail Office will close bags to all the remaining L-1 Mail offices in the Country (Other than the Exception*), to L-2 Mail Offices in its circle and delivery POs mapped to it.

  13. First Class and Registered Mails • Each L-2 Mail Office will close bags to all L-1 and L-2 Mail offices in its circle, and to the delivery POs mapped to it. • L-2 Mail Offices can close bags to other L-1 Mail Offices and L-2 Mail offices of the neighbouring Circles with the approval of Directorate. • All these bags are to be treated as Due Bags.

  14. Second Class Mails • Totally 86 L-1 and 241 L-2 Mail Offices under this Redesigned Network. • Each L-1 Mail Office will close bags to all the L-1 Mail Offices in the Country, to all the L-2 Mail Offices in its circle and the delivery POs mapped to it.

Second Class Mails • Each L-2 Mail Office will close bags to its parent L-1 Mail office, other L-2 Mail Offices under the same L-1 Mail office and to the delivery POs mapped to it. • L-2 Mail Offices can close bags to other L-1 Mail Offices and L-2 Mail offices of the neighbouring Circles with the approval of Directorate. • All these bags are not Due Bags.

Post Offices • Each PO should close a M bag containing • L-TD bag containing first class articles meant for TD of mapped Mail offices (L1 or L2) except station articles • L –Non-TD containing first class articles meant for destinations other than the above. • R-TD bag containing registered articles meant for TD of mapped Mail offices (L1 or L2) except station articles • R-Non TD containing registered articles meant for destinations other than the above. • L bag containing all other second class unregistered articles except station articles.

  19. Process in Sorting Department DESPATCH Place the sorted articles in the bags in which they have to be despatched Hand over the bags to the HSA
