  1. TRAINER INFORMATION-INDUCTION-TRAINING SESSION

  2. OBJECTIVES OF TODAY’S SESSION • Upon completing today’s session you will have learned: • What is a trainer and training policy of DVJS. • To fill in time sheets. • To write journals.

  3. WHAT IS A TRAINER • You are a support staff to DVJS participants. • You are assistants of Employment Executives. • You are a role model for the participants you train. • You are not Employment Executives or Counsellors. • You are not Consultants providing unrelated advise to host employers.

  4. HOUSE KEEPING RULESAT NEW SITES • Arrive on time. • Dress appropriately. • Use induction check list – inducted to new work site and learn the job, call case manger after 3hrs and at the end of the first day. • Be present, inform when leaving and returning. • Unobtrusive. • Call Employment Executives or PPS Manager if problems arise at work site. • Report OH&S issues, read 8-11in your handbook. If feel unsafe or injured stop work and call PPS Manager. • Communication – Update employer and Employment Executives/PPS Manager on a regular basis, if you have access to database make journal notes promptly.

COMPLETING A TRAINER TIME SHEET • ENSURE YOUR FULL NAME IS ON THE TIMESHEET (Not just your first name) – We may have more than one person with the same name as yours on our payroll. • If you have more than one timesheet for the same week ending: again, ensure you put your full name on each individual time sheet. • BREAKS – YOU DO NOT GET PAID FOR LUNCH BREAKS. • ADD up your hours and TOTAL at the bottom of the timesheet. Deducting your lunch breaks from the total. Change hourly rate from $90 to $50. • Reports – A report should only take you a maximum of 15 minutes to complete for each client. This is the maximum amount you can claim on your timesheet. • Kilometre Reimbursement – Reimbursement can only be claimed if you are actually picking up or dropping off clients in your vehicle. You are not automatically entitled to it just to get to and from your work place.

COMPLETING A TRAINER TIMESHEET CONTINUED... • Minimum pay is 3hrs and every trainer gets their hourly rate in their contract depending on their experience, work history etc. • Timesheet to be faxed on Monday morning by 10:00am for the previous week to Nikki Ward on 9792 6200 or emailed to nikkiw@dvjs.com.au to avoid delays in payment processing, as the pay run for Trainers are done fortnightly. • Time sheets for participants different to Trainers. Trainers must make sure participant time sheets are filled correctly and signed by host employer.

  7. TRAINING GUIDELINES • DVJS will often have participants that are unskilled and/or semi skilled. People are disabled or not usually receive training to reach an acceptable standard (quality) at an acceptable speed (quantity). Best way to approach training at DVJS is called “Total Task Training” incorporating quality and quantity training if necessary.

  8. TOTAL TASK TRAINING • First, name the task to be performed and explain reasons for doing it. • Second, outline how you are going to teach the task to the learner. You can do this by saying things like “I will demonstrate this now and once I finish this, I’ll go back to start and will show you again step by step and then will ask you to tell me how to do it”

  9. TOTAL TASK TRAINING CONTINUED… • Next silently demonstrate the whole task with minimum comment at the correct speed. Do not add steps, over attend to any aspect of steps or step incorrectly to show what will happen. • Return to first step and explain each step now adding quality, quantity and safety aspects of the task. • Ask them to tell you how to do it. • Finally let them do it.

QUALITY TRAINING ASPECT When training in quality; • If possible task must be performed by an employee or a supervisor of the host employer to demonstrate the level of accuracy and quality expected. • As soon as the participant has finished his/her orientation, this training can start with probing and observing of the participant to become familiar with the task.

QUANTITY TRAINING ASPECT When training in quantity; • The time taken for a set task when compared with other workers, with a predetermined time and output is usually what Trainers should be looking out for... • Trainers must pay attention to varying times of output as participants may perform differently in the morning, afternoon etc. To get a better understanding this must be over 3 consecutive days.

  12. ASSISTANCE Most people still get confused about the word… ‘prompting’ versus ‘helping’. We don’t want to create dependency…

  13. THERE ARE DIFFERENT FORMS OF ASSISTANCE • Verbal Assistance; (short, direct, simple) • Demonstration Assistance; (serves a visual purpose coupled with verbal assistance aiding memory) • Gesture Assistance; (such as pointing, signalling to stop) • Physical Assistance; (manually guiding worker’s movements. Where gender, cultural issues will need to be considered). Ask permission!

  14. OVER COMING TRAINING BLOCKS It would be very optimistic to think everything will be smooth. Use samples • Colour coding • Creating set of exemplars • Checklists • Drawing steps

  15. EFFECTIVE TRAINING MUST INCLUDE… • Reinforcing. • Clear communication in between Trainer (supervisor) and worker.

  16. JOURNAL WRITING-REPORTING • Clear facts and observation without prejudice. • Free from spelling mistakes and jargons. • Written in 3rd person. • Giving the whole story. • No personal comments.

  17. EXAMPLE • Details of training/trial; XYZ company-Date-Time-Supervisor involved. • Task/Job Title; Explain each step expected of the worker. • Evaluation; Explain how well the task is carried out. • Comments; Worker’s attitude, skill level, relationship with others, recommendations.
