Advance Preparation • Encourage ALL clubs to hold a club contest • Discuss the benefits of holding club contests • Discuss the club contests at the area council meetings • Offer to assist clubs by providing coaching & expertise • Discuss the Area contests at the area council meetings
Advance Preparation (one month) • Identify location, contest date & time • Notify Division Governor • Promote date, location and time • on the website • Flyer and email to all clubs in your area • Recruit contest chair and Toastmaster • Recruit a test speaker for evaluation contest • Ask area clubs to provide two: • Timers • SAA • Ballot Counters
Advance Preparation • Recruit a Chief Judge • Determine how contest judges will be recruited: yourself or Chief Judge • Anyone who is competing in any future contest would disqualify him/herself if they judge • Locate Area trophies
Preparation One Week in Advance • Confirm all contestants from all clubs • Confirm eligibility • Prepare the contest program • Do not include designations on the program • Confirm the key recruits • Prepare Thank You cards/token gifts for judges • Prepare the paper required
Paper, Paper and More Paper • Contest agendas • Speech contest rule book • Contestant eligibility forms • *** Judges eligibility forms (new) • Contestant biography forms • Judging forms for EACH contest • Tiebreaker judging forms for EACH contest • Two timing forms • Two ballot counter forms • Certificates of participation • Winner certificates • Notification of Winner form for EACH contest to be given the next day to the Division Governor
Just Before the Contest • Arrive early to confirm setup • Confirm all helpers • Set out the paperwork, certificates and trophies • Set out judges gifts/thank you cards
Contest Chair duties: • Gather all eligibility, originality and bio forms • Props for the speakers? SAA to place • Briefs the contestants on: • Speaking area and location of timing lights • Time limits • Draw for speaking order • Speech titles (for the Toastmaster) • Pronunciation of names • No badges for contestants
Contest Chief Judge duties: • Briefs the contest judges • Assigns a tiebreaker judge (could be the chief judge) • Briefs the timers and counters • Retires with the counters to count ballots • Prepares the contest results for the announcement
