The Plan When filling out the plan • follow the directions, • keep it simple and do not mark more areas than you are willing to do or can do monetarily . Stay in budget
The Files Example of a neat and tidy filling system Files would consist of • Current Trip Reduction Plan • Copies of Blank registrations, Ride home Policy, Ride share material and New Hire Packet • File for all the copies of Emails, letters and promotions in date order • Car pool list • Copies of receipts, filled out price drawing forms and registration in date order
Delegate If you have an over energetic employee that is willing to help ask them for help. They can help with the filing, drawings, emails and delivery of winnings. It will take some of the burden off of you
The Audit • Follow the Pre Audit Check list • Keep copies of everything and place in files in date order • If you follow your plan you will know what is needed to show the Auditor the check list and the plan are in the same order. If the box is checked on the plan then you should have a file for that area with copies.
Every month • Lets say you do a drawing once a month on the 5th of every month • On the last week of the month send out a reminder that the drawing will be held on the 5th of next month If you are drawing for April you would have Aprils drawing on the 5th of May • On the 1st of the month you could send out another email to get the last of the procrastinators in. • On the 5th have your drawing. • On the 6th send out another email congratulating the winners with a list of winners and their locations • Check bulletin boards at least once a month
