Project Management Tips on how to finalize your action plans for Global Youth Service Day 2016 (April 15th – 17th, 2016)
THREE STEPS OF PROJECT MANAGEMENT • Project Planning/Project Formulation • Project Execution/Project Implementation • Project Reporting/Project Evaluation
Project Planning/Project Formulation • Finalize the project idea by having thorough discussions with fellow alumni. This could consume time and there could be massive difference between initial and final ideas. • Define the framework for the project i-e assign tasks and responsibilities, confirm with school/venue administration, keep the alumni and volunteers informed, if any. • Make a Facebook Messaging Thread to communicate information and announcements. • Make presentations, if any . • Logistical Preparation i-e arrange multimedia projector, screen, sound system, venue, transportation, etc. • Save yourself from last-minute haste.
Project Timeline • Once the project is approved, finalize the details with the venue i-e timings, framework, etc. • Make your team. You can put up an announcement on the YES alumni Facebook Group where the alumni can sign up. • Project Planning • Project Execution • Project Reporting
Project Re-Educate: An Example • Two-Day activity-based workshop with 40 high school students. • Focus on educating the students about active citizenship, human rights, global health warming, global health and community service activities. • Practical implementation of the learning by cleaning the school premises and collecting trash. • Post-workshop presentations by the students to their fellows to share the learning. • Alumni nationwide carried out the project in their regions.
TIPS • Get a good night sleep before the project and start the day early in the morning. • Arrive at the venue on time for the project. Always makes a good impression. • Greet the assigned personnel in-charge and show your gratitude for their support. • Behave yourself around the participants. You represent the YES Programwhile you’re in the field doing the project. • Do not take pictures of those participants who are not comfortable with their pictures taken.
Timeline for GYSD 2016 (April 15th – 17th, 2016) • Begin discussing your ideas and plans for GYSD towards the last 10 days of March. • Make a Facebook Messaging Thread where the alumni can float their project ideas and be discussed. • NO PROJECT IS A STUPID PROJECT. • Encourage the alumni and correct them where wrong (with patience). Do not discourage them. • Speedy planning (when needed). Hence, improvise! • Multiple activities on same day. • Register your project. • Report your project outcomes before it’s too late. • ENJOY YOUR EXPERIENCE!
