  1. 2014-2015 Recruitment Campaign “School Night to Join Scouting”

PURPOSE • Enroll prospective families into existing Scout units & fill need for new units where • Over 50% of parents of Cub Scout-age boys perceive no one has invited them to join • Personally invite every eligible student in St. Charles, Lincoln, and Warren counties to join • Scouting is more FUN with your friends!

  3. GOAL 1,400 NEW MEMBERS

  4. STRATEGY • Each school district has pre-set “School Night to Join Scouting” recruitment night • Personally invite every eligible youth to join on that night • Reach youth and families 7 times beforehand • SIMPLE and FAST to sign-up that night • Easy to understand for New Families!

  11. District-level: School Rallies/Boy Talks • Elementary & Middle Schools • Visit each classroom, talk ~5 minutes • Talk during morning assembly • Talk during lunch hour • Talk over CC television announcements • High Schools • Table set up during lunch hour

  15. Unit-level: School Open Houses • Unit leader calls the school • Ask to set up a table at the Open House • Take recruitment materials • Take unit contact info • Take unit calendar

  16. Unit-level: Unit Calendars • Sports leagues will hand out every game date • School band concerts are already posted • Parents EXPECT to see a calendar from your unit • Meeting dates • Known outings • Service projects • Fundraiser dates • Advancement workshops

  17. Unit-level: Peer-to-Peer Recruitment • Scouts wear uniform to school on SNJS • Scouts give invitations to friends, business cards • Parents invite friends with kids to join • Parents eat lunch with son @ school in uniform

Unit-level: “Save the Date” Flyers • FREE, Colorful, Exciting, Informational • Available for all programs (Venturing as needed) • Already approved in advance by school district office • Units order flyers 4+ weeks in advance of recruitment night from District Executive • Customized text with unit contact info, location, time of sign-up night • Print shop prepares for District Executive

Unit-level: “Save the Date” Flyers • Pre-sorted in stacks of 20, 1 stack for each classroom • District Executive delivers to unit leader or school as requested • Full-sheet flyers go to schools by prior Friday • Half-sheet flyers go to schools on day of rally (Monday-Thursday the week of your SNJS)

  20. Unit-level: www.BeAScout.org • Via www.MyScouting.org you can update and view leads submitted at www.BeAScout.org • Check BeAScout to ensure your unit info is accurate • If you cannot fix it, tell District Executive what needs updated and he will fix it

Your Recruitment Night • Arrange to have a recruitment night for your unit on the pre-set SNJS date • Families more likely to attend programs at their schools than park, church, etc. • Contact school, set-up gym/cafeteria for ~5-8pm (set-up 5-6pm, recruitment 6-7pm, wrap-up & clean-up 7-8pm) • If another venue (e.g. park BBQ) has worked in past, go with it!

  23. Your Recruitment Night • Best Practices • Event held at potential new Scouts’ school • 6-7 p.m. start time • Games for kids while parents sign up • Collect pro-rated BSA registration fees (pack dues can be collected in the future) • Free Ice Cream Social, pizza, hot dogs, etc. • FAST & FUN

  24. Your Recruitment Night FAMILIES DECIDED TO JOIN WHEN THEY GOT IN THEIR CAR TO COME • Always get contact info on sign-in sheet • Always collect application, even w/o money or missing info • Always give your unit calendar w/ meeting & contact info • NEVER overwhelm new parents

Your Recruitment Night • What to Bring • Youth applications • Adult applications • Unit calendar • Cub Scouting “Day One” Flyers • Cub Scouting “Fright Fest” Flyers • Poster or sign for Entry • Lots of adult help: presenter, cashier, registrar, game-leader • Decorations, Yard Stick, Boys’ Life Magazine • Pens, highlighters • Cash/change for fees • Info about Scout Shop & items needed

  26. Your Recruitment Night • Express Sign-up: <10 minutes • Fill out application – be sure parents sign! • Pay pro-rated 2014 fee • Receive unit calendar with meeting & contact info

Your Recruitment Night • Traditional Sign-up: 30-45 minutes • Make it fun, enthusiastic • Decoration Table, Boys’ Life magazines out • Every family signs-in on sign-in sheet upon arrival • Sit at tables arranged by grade w/ den leader @ each table • General presentation about joining: 5 minutes

Your Recruitment Night • Split boys and parents, boys play games & parents stay to learn more: 15 minutes • Introduce unit volunteers • Hand out calendars and contact info • Talk about parent volunteers: Yard Stick Story • Where to buy uniform, etc. (Scout Shop info) • Popcorn fundraiser • Den leaders help complete paperwork: 10 minutes

Your Recruitment Night • Check for accuracy, collect applications + fees • Unit leader submits to HQ afterwards • Turn in “sign-in” sheet collected as families arrived • Turn in ALL youth applications (w/ parent sig.) • Turn in ALL adult applications • Turn in ALL fees paid and note all fees still owed • Info about your next meeting date Volunteers at HQ stay until all units arrive.

Cub Scout PacksWinners’ Circle Qualifications Increase pack by 6 Scouts over Dec. 31, 2013 membership Increase # of Boys’ Life magazine subscriptions Submit a pack program calendar (August 2014-July 2015) All due Oct. 31. If met, all Scouts registered on Oct. 31 receive FREE Pinewood Derby kit!

  32. Unit-level: Boy Scouting Talk to students who are interested in Scouting? Talk to students who are NOT interested in Scouting.

  33. Unit-level: Venturing • Custom flyers on demand • Informal table display at schools • Don’t wear uniform to recruit • Invite to a crew meeting

  34. Review • Major recruitment drive w/ start of school • One night per school district, one message • Fast, simple, EASY for new parents • Reach youth 7 times prior to recruitment night • Flyer, school rally, school open house, phone calls, school newsletter, social media, peer-to-peer, etc.
