  2. My Documents • The folder where Word and other Office applications automatically saves your docs • To open My Documents • Click the Start button, move to the top right, and click My Documents • OR Double-click the icon on your desktop. City College of San Francisco: Technology Learning Center

  3. Network drive • Your space on the network servers attached to your login and password • To open your network drive • Click the Start button, move to the top right, and click My Computer • OR Double-click the icon on your desktop. City College of San Francisco: Technology Learning Center

  6. Organizing = File/Folder Management On any disk: • Make folders and givethem helpful names • Move files logically into folders • Create folders inside folders • File as you go: Save new docs directly into folders City College of San Francisco: Technology Learning Center

  7. How do you organize? • Teachers • Class, semester, committee? • Administrators • Project, committee, job function? • Classified • Project, job area, FY? City College of San Francisco: Technology Learning Center

Making folders • What are folders? • Containers for files (documents) and other folders • Organize My Docs, Zip disks, network space • Navigate to the right disk / folder • In the left (task) pane, click Create folder • Name the new folder • You’re done!   9. Navigate to the right folder • Open My Documents OR: • To go to another disk • Open My Computer • To open a disk: Double-click disk icon • To open a folder:Double-click folder icon City College of San Francisco: Technology Learning Center

  10. Create a new folder • Works in My Computer or My Documents • Go to the left (Task) pane • Click Make a new folder City College of San Francisco: Technology Learning Center

  11. Name the folder • A New Folder icon appears • Immediately type the name you want • Your new replaces the highlighted text • You’re ready! • Move files into your new folder City College of San Francisco: Technology Learning Center

Organizing your files • Create the folders you need • Select files/folders • Move them into the right folders • Navigate to the destination in the Move window • Move takes files out of the old location (deletes them) and puts them in the new location • Delete files / folders you don’t need City College of San Francisco: Technology Learning Center

  13. Selecting files and folders • In the right pane of My Documents, click a file or folder to select it • Control-click other files or folders to add to selection • Highlighted icons show what you have selected City College of San Francisco: Technology Learning Center

  14. Moving files and folders • With the folders and files selected on the right… • In the left pane, click the task you want City College of San Francisco: Technology Learning Center

  15. The Move/Copy Window • If you click Move (or Copy) this window appears • Click to highlight the destination folder (or disk) City College of San Francisco: Technology Learning Center

  16. Navigating in the Move/Copy Window • If you can’t see the destination: • Scroll using the bar on the right • Click folders to see their subfolders City College of San Francisco: Technology Learning Center

  17. Finishing the Move/Copy Operation • Click to select the new location • Click the Move (or Copy) button • Your selection is immediately moved (or copied) City College of San Francisco: Technology Learning Center

  18. Forgot to make a new folder? Create a new folder on the fly in the Move/Copy window: • Click the Make new folder button • Name the new folder • Click the Move (or Copy) button • Your selection immediately drops into the new folder City College of San Francisco: Technology Learning Center

  19. More on the Move/Copy window • A + means that the folder contains subfolders that are not visible • A - means that a folder’s subfolders are visible • Click the folder icon or the sign to change signs—to show or hide sub-folders City College of San Francisco: Technology Learning Center

  20. Moving through folders • As you Move/Copy documents, open folders to find the one you want • Click a folder with a plus sign to see folders inside it • Here we opened Admin • Then 33Gough2001 • Then hirings City College of San Francisco: Technology Learning Center

  21. Tips • Don’t use Publish to the Web (uses Microsoft’s commercial partners) • Wait for tests on new mail system to see if E-mail this file works…. City College of San Francisco: Technology Learning Center

  22. Deleting files To delete a file or folder: • Select it on the right • Click Delete on the left • The Confirm file delete window opens • Click Yes to send the file to the Recycle bin City College of San Francisco: Technology Learning Center

Dealing with the Recycle bin • Deleted items go to the Recycle bin • Empty the recycle bin regularly to free disk space • Double-click its icon • On the Task Pane (left), click Empty Recycle Bin • Restore an item by highlighting it and clicking Restore City College of San Francisco: Technology Learning Center

  24. My Computer Same window components as My Documents • Menu Bar • Icon Bar • Right Pane displays contents: All resources on the computer • Left pane displays tasks City College of San Francisco: Technology Learning Center

  25. Using My Computer • To view contents of a zip or floppy disk • Double-click the disk icon City College of San Francisco: Technology Learning Center

  26. Using My Computer • Double-click the disk icon • Disk’s contents appear in right pane • Tasks change in left pane • Useful to copy files from another disk to My Documents City College of San Francisco: Technology Learning Center

  27. Using My Computer after the move • Your present My Documents folder goes to your Desktop as Old My Documents • Use My Computer to copy all or part to your new My Documents • Or save somewhere else…. City College of San Francisco: Technology Learning Center
