Requesting New Positions • Once a department determines there is a need for an additional/new position, the following documentation must be submitted to the Dean’s Office for approval. • A memo/letter requesting the position on departmental letterhead and approved/signed by the Department Chair or his/her designee; • Request must include the source of funding for the position; • List the desired classification and salary level of the position; • Justification of why the position is needed;

  4. Approval • Once approved by the Dean and/or the Associate Dean for Administration and Finance, you will receive an email from the HR Director letting you know your request has been approved. If the position requires a position description, you will be instructed to submit the PD on-line. No PD is required for Clinical and Research Faculty ,Tenure track , and Temporary Faculty positions.

Advertising • Positions in the tenure track (Assistant Professor, Associate Professor, Professor and Professional Librarian) must be advertised. • See more detailed instructions concerning faculty advertising and recruitment on the (EOP) Equal Opportunity Programs website at www.sc.edu/policies/ppmhome.html • Academic Affairs Policies and Procedures website at www.sc.edu/provost

Requesting a Research Grant Funded Position • Department submits a letter which details the need for the position to the Associate Dean for Administration and Finance or to the Human Resources Director. Include in the letter the title/classification, desired salary, and accounting information. Once approved the department will be notified to establish a position description online at https://uscjobs.sc.edu/userfiles/jsp/shared/frameset/Frameset.jsp?time=1206468010360

Position Descriptions • Faculty positions which require a position description are: Postdoctoral Fellow, Research Associate, Teaching Associate and Research Grant Funded positions with the title of Research Assistant Professor, Research Associate Professor, Research Professor, Postdoctoral Fellow, Research Associate and Teaching Associate.

Statements that should be included in the Position Description Compliance Statements: Job Purpose: To demonstrate commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations. Supv. Resp: Act on non-compliant activities and report when necessary. Knowledge/Skills:Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations. Phys. Demands: Could require New Employee Health Survey and Annual PPD. Position Descriptions in Clinical Departments: Mental Demands: Adhere to University Specialty Clinics Patient Privacy Procedures. Physical Demands: Attend new employee Patient Privacy Procedures training within the first 45 days of employment. Research Grant Funded Position Descriptions: Job Purpose: This position is established in support of expanded research activities. Exempt Position Descriptions: Guidelines/Supv: Must demonstrate independent judgment and discretion with respect to matters of significance.

Sample Position Description Title of : Postdoctoral Fellow Research Associate Research Assistant Professor Research Associate Professor Research Professor Teaching Associate Job Purpose To participate in and collaborate with principal investigator(s) in the following research project _____________, for the Department of______________ at the USC School of Medicine. To demonstrate commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulation. This position is established in support of expanded research activities.

Duties Serves as one of ___ investigators on research grant entitled “__________” (list specific research involvement and details related to research responsibilities as outlined in the grant proposal. Designs and implements sampling programs. Supervises ___ Laboratory technicians. Performs sophisticated statistical analyses on data collected. Presents results of research at scientific meetings; represents the department at meetings, etc. Publishes results of research in scientific literature. Participates in the completion of annual progress reports to funding agency. Seeks additional funding for continued development of research in related field.

  15. Supervisory Act on non-compliant activities and report them when necessary. Education, Knowledge, Skills and Abilities Degree in ________ or related sciences and _______ years related experience in project research area. Previous experience in planning, development, and/or implementation of related/similar project activities. Thorough knowledge of research procedures and federal and state funding mechanisms. Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations. Mental Demands Clinical Departments only Adhere to the University Specialty Clinics Patient Privacy Procedures. Physical Demands Clinical Departments only Attend new employee Patient Privacy Procedures training within the first 45 days of employment.

  16. Approval Process • When the position description is completed by the Department it should be submitted to School of Medicine HR (using the PD module you submit to DEAN). HR will review the position description and submit to Salary Administration for approval. When the position description is approved School of Medicine HR will notify the department to submit a requisition online at https://uscjobs.sc.edu/userfiles/jsp/shared/frameset/Frameset.jsp?time=1206468010360

  17. Advertisement • A Research Grant Funded position must be advertised on the USC Jobs Online Employment System . • These positions can also be listed in the newspaper, journals, and other web-sites that are related to the position being filled.

  18. Cont’d • A Research Grant Funded position can be advertised before funding is received. The department will not be able to hire until the funding is received and Sponsored Awards Management (SAM) has set-up the account fund number.

  19. Temporary Faculty (TFAC) • Temporary Faculty positions can be advertised on the USC Jobs Online at https://uscjobs.sc.edu/userfiles/jsp/shared/frameset/Frameset.jsp?time=1206468010360 • Notify School of Medicine HR if you would like to advertise a temporary faculty position. • You will need to submit a requisition online.
