  2. BATCH MANAGEMENT • “Batch” will be used to define the time of enrollment. For ex. Students enrolled in classes starting on 1st Jan 2013, will be Batch 01-13. Student enrolled in classes starting on 15th Jan 2013, will be Batch 02-13 • There will be 2 batches starting every month – one on the 1st and one on the 15th of each month. (administrator should be allowed flexibility to change the settings) • Course code within each batch will be in the format of 01-13-(course code) ex. 01-13-WDIC1301HC • Batch and course codes should be be used to create student ID • Each of the batches will conclude based on the duration of the course: • Modular (as prescribed at the time of course creation) • Certificate (180 days) • Diploma (365 days) • Advanced Diploma (730 days) • At the 50% mark of the course duration, students should have completed the classroom component of their training. The remaining 50% of the course duration will be dedicated to On The Job training (at the employer location) • Dues/ installments of each of the students will be calculated from the date of commencement of the batch . i.e. upfront fee will be due at the time of seeking admission and first installment will be due on the date of commencement of classes (if they are both on the same day, both amounts will be due) • Thus, the due dates for all students in a batch will be the same and defaults will be calculated on the same cycle.

  4. BATCH SHIFTING • In case students are shifted between batches, there should be no change in the admission number/ student ID. Only batch assignment will change on record. • Student cannot shift batches if past dues are not cleared and if approval is not received • Format: • Student details (for past admission records) • Request shift to batch no. ______ • Reason for shift • Previous date of course completion • New date of course completion • Previous dues and settlement • New dues and installments (updated fee invoice to be issued) • Student can shift batches within a center if the course and program are the same • Student can shift batches between centres if the course and program are the same

CENTRE TIME TABLE • Each centre will prepare a timetable in the following format (slide 5) and entries in this will be used to update student and staff attendance. • Classes for each course will be conducted on different days of the week and students can, in consultation with the facilitator and centre coordinator, attend classes in a flexible manner. • The following entries for each day of the week should be made using drop down selections: • Timings • Program • Course • Facilitator

STUDENT/ BATCH TRAININGDETAILS • Student attendance will be tracked manually (until installation of the biometric system) and updated when the 50% of the course duration (based on the batch) is complete • At this stage, the student OJT details need to be entered • Name of employer (organization) • Name of recruiter • Designation of recruiter • Telephone number of recruiter • Source of OJT (student/ centre manager/ facilitator/ BMN network/ HO) • Letter of OJT issued by employer • Job designation • Stipend earned per month (with remarks for added benefits) • Starting date • End date • Feedback from employer – grade • Feedback from employer – comments • Feedback from employer – attendance • At the stage of course completion, placement details need to be entered • Name of employer (organization) • Source of Placement (student/ centre manager/ facilitator/ BMN network/ HO) • Letter of placement issued by employer • Job designation • Starting date • Salary per month (with remarks for added benefits) • Starting date • Workplace address • Name of recruiter • Designation of recruiter • Telephone number of recruiter
