  3. PAC and IPAC - Update • Once we get through the ’11 time transition, North America (NA) will be hosting an xPAC conference every 18 months: continuing the co-sponsoring by APS-DPB and IEEE-NPSS. IPACs in the Spring (’12, ’15, ’18, etc.) and PACs (’13, ’16, ’19, etc.) in the Fall. • There will be an IPAC conference every year in the Spring, rotating in the order: Asia, Europe, NA (’12), Asia, Europe, NA (’15), etc. • We (APS or IEEE) don’t sponsor or technical co-sponsor (yet) IPACs held outside NA. • We work well with colleagues -- European colleagues agreed to shift IPAC’11 to the fall so that there would be little conflict with our planned PAC’11 in New York.   4. PAC’09, hosted by the TRIUMF laboratory was held in Vancouver B.C. Canada, 2009 May 4th-8th. It was a technical, industrial and scientific success; as well as a cultural and interchange/discussion success. • Books closed now. APS still has not received their funds from IEEE! Loss from the conference about $35,552 (a 3.9% loss), an amount split between APS and IEEE. IEEE has the $25k advance loan from APS on their books. Audited 2010/05/28 by PWC and signed off by TRIUMF 05/31. IEEE owes APS $7.2k ($25k - $17.776k = $7.224k). • We are still waiting to close our APS books on this conference!!!!   5. PAC’11 being held at the Marriott Marquis in New York City 2011 March 27 to April 1. PAC’11 is the first regional NA PAC held between IPACs (IPAC’10 and IPAC’11) with a slight “flavor”change. • The PAC OC met at the conference hotel 2010 January 15, approved the site, approved the conference format, and ensured there was adequate financial contingency and no hotel overbooking. Expect 800 attendees. • Conference chair is Thomas Roser (BNL), SPC chair is Vladimir Litvinenko (BNL) and LOC chair is Michael Sivertz (BNL). An exciting program has been set up, including tutorial sessions in the morning. • Concentration banking account with Wachovia Bank via the IEEE working very well. Both APS and IEEE provided loans of $25k. • As of Mar 22: Income - $791.218k; Expenses - $692.647k; Contingency - $48.571k PAST 2011/03/26 Stan Schriber

  6. 24th Particle Accelerator Conference (PAC): 1st (North) American PAC • Registered participants (as of Mar. 20): 779 (82% America, 14% Europe, 4% Asia) • 55 invited talks, including 3 plenary talks and 4 tutorials • 1092 contributions submitted(77% America, 14% Europe, 9% Asia) • 82 exhibitors (sold out!), 80 additional exhibitors registered • Provided grants to 48 graduate students (~ $900 each) • 97 students participate in the Student poster session on Sunday • Two student poster awards, $500 each • Science teachers day on Wednesday sponsored by APS DPB • 40 high school physics teachers have registered

Grants/sponsorships: • APS DPB: $10k student support, $15k teachers day, $3k child care support • IEEE NPSS: $2.5k WIE reception • DOE Office of Science (NP, HEP, Fusion Energy): $20k printing costs • BNL/BSA: $24k student support; $6k coffee breaks; $0.5k WIE reception • Various exhibitors: $13k coffee breaks, bag inserts, WIE reception, etc. • DOE grant was obtained through Stony Brook University w/o overhead charge (IEEE is not providing this service anymore) • Four one-hour tutorials scheduled first during the day • Posters up all day, first half manned in the morning and second half manned in the afternoon. • Interactive program guide available on smart phones (www.bnl.gov/pac11/m)

  8. IPAC’12, the first NA particle accelerator conference in the international series, will be hosted by LSU 2012 May 21st to 25th in the Morial Convention Center, New Orleans, Louisiana. PAC OC met in New Orleans and approved location details 2010/12/10. • Conference Chair is Victor Suller (LSU), SPC chair is Jeff Corbett (Stanford) and LOC chair is Kevin Morris (LSU). Expect ~ 1200 attendance (500 rooms booked) • A concentration banking account for IPAC’12 has been set up via IEEE conference services. Both APS and IEEE have provided a $25k loan to assist with initial preparations for the conference. • The program will consist of plenary sessions on Monday morning and Friday afternoon. The remaining mornings and afternoons will have three parallel sessions each. Although poster sessions will each be for a half day, posters may remain mounted all day to give attendees full opportunity to see them. A student poster session will be held Sunday afternoon. A “Lou Costrell” awards ceremony will be held on Thursday afternoon, when prizes will be given for IEEE, APS, USPAS awards and for the best student posters. As an experiment, several posters per session will be selected (by the SPC) for electronic presentation on large flat screen displays. PAST 2011/03/26 Stan Schriber

  9. The SPC will select a program of invited talks, at a meeting to be held in New Orleans June 2011. The deadline for submission of abstracts is December 7, and the invited orals will be selected at a SPC meeting to be held in California February 2012. • Contracts with hotels have been made with IEEE assistance. Assuming 1250 attendees, with 700 rooms guaranteed. Budgeted for $900k with contingency of $90k. • Scientific tours for the Saturday following the conference will be available for the CAMD synchrotron light source and also for the LIGO gravitational wave observatory. • Events will include Women in Engineering evening, Science Teacher’s day, Sunday student poster presentation, Thursday banquet, companion tours, and many satellite meetings PAST 2011/03/26 Stan Schriber

PAC’13 • (PAC’13) will be hosted jointly by the Lawrence Berkeley National Laboratory (LBNL) and the SLAC National Accelerator Laboratory (SLAC) September 29 – October 4, 2013 at Pasadena Convention Center. • The conference, the 26th in the xPAC conferences, is expected to have ~ 750 attendance. The Pasadena Inn, Sheraton and Hilton contracts have been signed. • Steve Gourlay, LBNL, is the Conference Chair, with Scientific Program Chair - Alex Chao, SLAC and LOC Chair - Chan Joshi, UCLA • . PAC’13 - 2 Pasadena Conference Center • 3 primary hotels • Sheraton • Hilton • Pasadena Inn • Conference center and auditorium • No space issues at all • 30 minutes from LAX (regional airport closer) • Large variety of restaurants and nightlife within easy walking distance • Room rates vary.   13. IPAC’15 • IPAC’15, to be hosted by JLab, the sixth in this new IPAC series, and for us the 27th in our series of xPAC conferences in North America. It will be hosted by JLab in Richmond, VA May 4 – 8, 2015 at the Greater Richmond Convention Center. Expected attendance of ~ 1500, but budgeting on 1250. • This will be the 50th anniversary of PAC conferences!!! • With Andrew Hutton, JLab, the conference chair; Stuart Henderson, FNAL, the scientific program chair; and FulviaPilat , the local organizing committee chair. Hotel Accommodations • Marriott Richmond, host hotel, adjacent to Convention Center - sky walk to convention center • Hilton Garden Inn Downtown, across from Marriott • Crown Plaza Downtown (.5 mi) • Doubletree Downtown (.7 mi) • Omni Richmond (.8 mi) • And the historic Jefferson Hotel (.5 mi) • Over 900 rooms have been blocked • 4 of the hotels will offer prevailing government per diem plus 25% (at 2009 rates, $153.75) • Hilton Garden Inn confirms $155 rate for 2015 • VIP rooms at Jefferson Hotel confirmed at $160 (Quoted rates are before taxes) All hotel contracts have been signed and approved by IEEE!

  16. PAC’16 • The 3rd regional North American Particle Accelerator Conference (PAC’16) (28th in our series of xPAC conferences in North America) will be organized jointly by the Argonne National Laboratory (ANL) and the Fermi National Accelerator Laboratory (FNAL). • The conference will take place in the fall of 2016 and will be held in the Chicago region. Details for this conference are being looked into by the acting Chair for the conference, Marion White of ANL. Projected attendance is 750 and the conference program will be geared toward early career scientists, engineers and students. • Decisions on chair and other officials to be made at the March 2011 PAC OC meeting.   17. PAC’16 - 2 • The Location –Hyatt Regency Chicago • PAC01 was held in this hotel • All meeting space would be in the East Tower • prevailing Government Group Rate • The Hyatt wants PAC’16, and they can handle the entire conference in one location. Room book 350 being considered. • Proposed Dates: late September – early October • Budget about $900k. PAST 2011/03/26 Stan Schriber

  18. IPAC’18 • Will be discussed at Tuesday PAST TC meeting. • Locale needs to be west coast – many interesting considerations while trying to keep costs down and have a interesting and cultural setting, in addition to providing a must-attend scientific program. PAST 2011/03/26 Stan Schriber

  19. Requests Update • IPAC’11(on agenda for next meeting) and other IPACs considering IEEE technical co-sponsorship of their conferences in Europe and Asia. Their OCs have 3 out of 12 members who are IEEE-NPSS members and have 8 out of 24 IEEE/APS members on their SPC. • We are not officially a co-sponsor of the conference yet, but heavily involved in planning and oversight.   20. Council on Superconductivity • The IEEE Council on SuperConductivity, CSC promotes programs and activities that cover the science and technology of superconductors and their applications. Superconducting applications span the range from small scale analog and digital circuits and systems, to large scale applications of electrical power generation, storage, and transmission.  Applications include the development and enhancement of the associated materials. • The IEEE CSC distributes technical information mainly through its quarterly publication of the IEEE Transactions on Applied Superconductivity.  To subscribe, click here.   21. What should NPSS do??? • Section 1. The Council shall be composed of representatives from the IEEE Member Societies listed in the Bylaws. Each represented Society must agree to share responsibility for all financial obligations of the Council, in accordance to this Council Constitution and the Bylaws. • Section 2. Each new Council Member Society must receive approval by a two-thirds vote of the existing Council Members and by the IEEE Technical Activities Board before it may join the Council. • Section 3. The Administrative Committee of the Council, AdCom, shall consist of the voting members of the Council, the non-voting ex-Officio members of the Council, Article III, Section 9, and the Editors of the IEEE Transactions on Applied Superconductivity.
