What is Unidocs HMIS ? • Unidocs is an on line tool developed by Fire Agencies in northern California to manage submission of documents relevant to Certified Unified Program Agencies (CUPAs) • The HMIS component of Unidocs allows businesses to do on line submission of chemical inventories to satisfy the Hazardous Materials Business Plan CUPA requirements

What is the Current State of Unidocs HMIS ? • Currently the entire Unidocs system is transitioning to ownership by the State of California under CalEPA • Before completion of this transition, Unidocs is being enhanced to provide some key tools to improve upload, download, and approval processes for CUPAs • The State will integrate Unidocs with other systems for CUPAs

How Will Unidocs Be Used in San Diego County? • The HMD has been evaluating Unidocs over the past 8 months using chemical inventories from several volunteer test businesses. • When enhancement to Unidocs are complete (expected in November 2008), HMD will be able to download “accepted” chemical inventories into the current HMD data management system. • With successful download, the information can be immediately integrated into the HMD system to disseminate information for first responders and the public. • Initially this download will be managed manually. This will limit the numbers of businesses we can handle through Unidocs. • HMD has already drafted a plan to automate the download process. This will make the process available to a much broader group.

  5. Chemical Inventory Submission through Unidocs HMIS: Business Perspective • To participate, a business will request to submit inventory through this pilot project. Participants agree to maintain inventory within the HMIS system by editing, deleting, and adding to the most recent accepted submission. • HMD will upload accepted inventories to Unidocs for existing businesses. • The HMIS system has an integrated data dictionary covering most common chemicals to expedite additions of new chemicals. • Mixtures and trade name chemicals may have to be added manually; these additions become part of the business specific data dictionary.

  6. Unidocs Users Group • HMD is looking for ways to make submission through Unidocs as simple as possible while maintaining required information standards • A Unidocs users group could help HMD in evaluating Unidocs further and providing suggestions for future improvements. • In addition, HMD will prepare user tips protocols, and support/training for dealing with chemical mixtures, trade secrets, and other HMIS related issues.
