PYP002: Preparatory Computer Science • Style consists of predefined formatting applied to selected text • Advantages of styles: • Consistency in formatting • Avoid design errors • Create style • click on Styles Dialog Box Launcher and then New Style • Remove style • Select text and then Select Normal style • Delete style • Click on Styles Dialog Box Launcher, Right-click style to delete, and then Click Delete, Click Yes, Click Close. 3

  5. How do I modify styles? 1. Select the style by browsing through the Quick Style List. 2. Right Click on the Selected Style and select modify from the menu. 3.   6. How to delete a style? Select the Style you want to delete from the Styles Group on the Home Tab. Right-click the style you want to delete, and then click Remove. If you delete a paragraph style that you created, Microsoft Word applies the Normal style to all paragraphs that were formatted with that style and removes the style definition from the task pane. To display, click Show/Hide toolbar button • Print Layout View • Web Layout View • Outline View • Change views by clicking one of the View buttons in the lower-right corner of document window, or clicking View tab 7

PYP002: Preparatory Computer Science • Outline view handy for organizing content • Assign outline levels to each title, heading, and paragraph • View any level of outline to get overview, or all details • Easy to rearrange sections to streamline document’s organization • Microsoft Word uses following conventions to indicate outline levels: • Plus sign indicates heading with subtext • Small solid circle indicates body text at lowest level of outline • Gray line under heading indicates subordinate text not displayed • Dash indicates heading without subordinate text 8

  10. How do I create headers and footers? PYP002: Preparatory Computer Science Header is text that appears at top of every page Footer is text that appears at bottom of every page Typically display title of document, current date, author’s name, and page numbers 10

PYP002: Preparatory Computer Science • Where headers and footers are displayed: • Print Layout View • Print Preview • On printed pages • Headers and footers preset tabs • A center tab in middle of page • A right tab near right margin • Pressing Tab key will move insertion point to next tab 12

PYP002: Preparatory Computer Science • Two types of graphics may be inserted: • Vector graphics • Bitmap graphics • Bitmap referred to as “picture” with extensions: .bmp, .png, .jpg, .tif, .gif • Insert pictures and other bitmaps from files stored in computer 17

PYP002: Preparatory Computer Science • Vector graphic, sometimes called “drawing,” created with basic shapes such as lines, curves, and rectangles • Clip art, logos, organizational charts created with vector graphics • To access Clip Art: • Click Insert tab • Click Clip Art in Illustrations group 22

PYP002: Preparatory Computer Science Margin settings typically apply to entire document, and are changed using Page Setup on the Page Layout tab Default margins are set to 1” on all sides Smaller margins allow for more text, larger margins reduce amount of text that will fit on page 27

Formatting Table of Contents In the previous example, each section heading is of Style “Heading 1” and the each sub section is of style “Heading 2” Note: The heading styles for the different section of your document must be formatted as explained above to generate the table of contents. PYP002: Preparatory Computer Science As document is revised, you can maintain record of original wording Track Changes feature maintains all deleted, changed, and inserted text – displays as contrasting color You may hide or display “changes” and integrate them by “accepting” them 36
