What is this presentation for? • Implementation of the third and final phase of PAN System enhancements begun March 2008. • This phase allows departments to identify reviewer responsibilities by specific employee categories (splits), thereby reducing the number of unnecessary PANs going into reviewer inbox. • Using the splits can reduce the reviewer’s workload.

  3. What is included in this presentation? • Explanation for both staff and academic employee splits • Resources to assist in using splits option • Contact information for more help

  4. Staff Splits • SMG – Senior Management Group are non-academic executive positions, job title codes less than "0200" • Example: Chancellor, Executive Vice Provost (Functional Area), Executive Dean • MSP – Managers & Senior Professionals are not included in the Salary Scales for staff on the HR website, but their title codes and titles, as well as grade information, can be found on the Salary page at HR. • Example: Assistant Dean (Functional Area), Management Services Officer (MSO) IV, Chief Dietician • Non-student PSS – Professional & Support Staff titles can be found in the Salary Scale information at HR. • Example: Career, Partial-year Career, Limited, Contract, Floater • Student PSS titles are those held by students in non-academic positions, and have appointment type (4) casual/restricted. Again, these titles are included in the Salary Scale information at HR. • Example: Student Assistants, Casual/Restricted

Academic Splits • Faculty - employees who are holding one or more academic job titles that are Ladder-Rank Faculty, Acting-Rank Faculty, Faculty-Lecturers and other Faculty based on the title classification. • Example: Professor, Professor in Residence, Professor of Clinical ___, HS Clinical Professor, Lecturer, Supervisor of Phys Ed • Researchers - all employees holding academic research job titles which are identified by the research title classification. • Example: Specialist, Project ____, Professional Researcher • AcadAdm – Academic Administrators - all employees who are holding one or more academic administration job titles. • Example: Department Chair, Associate Director, Divisional Dean, Assistant Provost

  6. Academic Splits, cont. • Other Acad – Other Academics - all employees who are non-faculty and non-student based on their academic job titles. It also includes several miscellaneous academic titles however it does not overlap any of the other splits. • Example: Academic Administrators, Academic Coordinators, Teacher – Special Programs, Law Librarian, Graduate Advisor • Graduate Division - employees holding specific academic graduate-student related job titles, as identified by the Graduate Division. Includes grandfathered Post-Grad Researchers and Visiting Postdoctoral Scholars. • Example: Associate In ____, Tutor, Postdoc-Paid Direct, Unclassified • Medicine - all employees who are holding one or more academic job titles that are medicine-related. • Example: Clinical Professor-Volunteers, Intern-Pharmacy, Resident Physician

Options for Assigning Splits • The splits by type of employee allows the department to designate different individuals for the PPS or OPTRS roles; which means the reviewers only receive the PANs for the specific employees they want review for, not ALL the employees as before. • If a department doesn’t have any employees in the a particular split a note is made in the Special Conditions section of the form (example: no Medical title codes in the Academic splits).

  8. Sample PPS Org Form - Academic • Here the sections are completed for Academic splits. Again, you see only a limited portion of the form. • In this example the responsibilities for preparing and reviewing Faculty, Research and Academic Administration employees are separated from those for the Other Academic and Graduate Division employees. In this specific case the department doesn’t have any employees in the Medicine split so a note is made in the Special Conditions section of the form. • Again, the split by type of employee allows the department reviewers to receive only the PANs for the specific employees they want review for, not ALL the academic employees as before.

PPS DS Reports & Resources • New report in PPS DS for academic titles • Report 209 identifies how academic title codes are grouped • Search by specific academic title code • See all academic title codes in each split • PPS Help Desk and PPS Administrator • Human Resources & Office of Admin for Staff splits • Graduate Studies for splits on titles in the Graduate Division • Academic Personnel for Academic splits, contact your dean’s office first

PPS DS Report 209 • This screen shot shows the query options for PPS DS 209. • If you enter a specific academic title code in the field and process, results indicate title description and the split classification (i.e. entering 1300, will produce results showing Asst Prof – Acad Yr, Faculty). • Since the default for the classification is ALL, you can run the query with no title code and get all codes in all the splits, or choose a specific classification and see all title codes in that split.
