How to add members • Add children to the database http://www.stroudwoodcraft.org.uk/database/add • To view the database for your group use the ‘database’ link in yourgroups menue.g, http://www.stroudwoodcraft.org.uk/database/saplings
What does the database give us? • A way for us to quickly access information that is current. • Lists to print for the folder (Group Contacts and CRB) • An easy way to manage moving up.
Structure • 1 entry per child. • Duplicate entries for parents on lists on Group Contacts CRB where two children in one group.
Fields added by members & the public • Group • Waiting to go in • Childs • First and Last name, • DOB, • School • Moving up date, • Address, • Phone number(s) • Email • Parents • First and Last name, • Phone number(s) • Email address • Willingness to lead • CRB date • Membership renewaldate • Any other info
Additional fields accessible by us • Notes • High Priority • Moving up date (if you view their record you see help in how to work out what to enter for this field) • Also note we have access to the whole database, not just our group. • Authored on – the date they were added – can be used to ‘shuffle’ the waiting list for whatever reason
Waiting list • In your menu (mine for example is titled benjarlett) there is the link to the waiting list http://www.stroudwoodcraft.org.uk/database • Ordered by priority / post (creation) date • Youcanfindchildrenwhoused to be in woodcraftthatarereturningusing the ”All” link (at the top - whichlistseveryone) under the group”Past members”
Removing users • Delete them from website by going to their account. Go to members (not database), click their name, edit (at the top), delete(at the bottom) • Delete their (& both parents) email addreses from Google group • Change childs group to “Past Member” so that coming back is easy, and they get priority.
Google Group • click management tasks to remove people • to invite people click invite members->add members directly
Finally • finally... use the log out button if you have a computer that is shared with other people, you have access to information that people aren't necessarily up for sharing....
