Effective Use of Summary Functions in Data Reports

This guide details the use of the SUMMARIZE BY command in data reporting, which allows for control breaks based on changes in sort field values. Key functionalities include performing summary calculations like subtotals, counts, averages, minimums, and maximums at specified break points. Users can define sort fields in any order and request a grand summary using a '0'. Examples of suffixes for summary functions are provided, enabling users to combine multiple functions for enhanced reporting.

  2. Summarize By: • The SUMMARIZE BY prompt calls for the numbers of the sort fields you want to use as control breaks. • A break point occurs when a sort field value changes and is a place where you may want to perform functions (eg: subtotal, count, average, minimum, maximum) on certain fields. • The sort field numbers can be entered in any order, separated by commas, and you may include a '0' (zero) to indicate that a grand (total report) summary line is also required.

  3. Type of Summary Functions: The field number may be followed by a suffix indicating the type of summary function: • '*' for subtotal (default if no suffix) • 'C' for count • 'A' for average • 'L' for low (minimum) • 'H' for high (maximum) • 'E' for last value (ending). A field can have more than one summary function specified, for example: '3,4,4C,1L,5A,1H'.
