Introduction Congratulations and thank you for contributing your time and talent to leading your Zonta club. Since its founding in 1919, Zonta has grown and flourished thanks to the passion and skill of dedicated volunteers like you. The following training module is designed to help you succeed in your new role. It will familiarize you with the basics of being a club president and help you locate resources within Zonta to extend your knowledge and answer your questions. We know you’re busy, so let’s get started!
Your Most Valuable Resource • Every Zontian should have a copy of the Club Manual. As president, it is essential. • Download as a pdf from the ZI website, under Member Resources. • Covers all aspects of club operation and management, including the roles of officers. • Includes Zonta history and scripts for installing new members and club board.
President’s Responsibilities • The president is the chief executive of the club. • In conjunction with the club board, the president reviews and aligns club goals and objectives with the long-term and biennium goals of Zonta International and the district. • Goals must be discussed with, and approved by, the club members. • The membership should be kept fully informed about all relevant Zonta business.
President’s responsibilities to the club and the board • Initiate the development of short and medium-to-long term strategic plans for the club. • Preside at all meetings of the club and the club board. • Appoint and brief the chairmen of standing and special committees, with the exception of the nominating committee (which is elected) and monitor the progress of club committees toward achieving club goals.
President’s responsibilities to the club and the board • Present recommended club goals for approval. • Present club board recommendations to the club at its next business meeting. • Ensure that operating methods, processes and structures are reviewed regularly for relevance and continuous improvement.
President’s responsibilities to the club and the board • Encourage the club’s support of local and of ZI international service programs and projects, and the club’s active participation in public affairs and advocacy. • Ensure that the club pays correct dues to Zonta International by the due dates and submits the membership list. • Appoint a club parliamentarian, if the club chooses to have one.
President’s responsibilities to the club and the board • Countersign – if applicable – all payment orders and checks drawn on the club’s bank account by the treasurer. • Ensure timely submission of reports and contributions. • Present a written report at the club’s annual meeting reviewing the year’s activities and offering pertinent recommendations.
And there’s more! • The president should take leadership in encouraging contributions to the Zonta International Foundation and encourage members to give to the Foundation. • Encourage all members to register and use the ZI website. • Ensure that all information contained in club mailings from ZI Headquarters is distributed to the appropriate club members and shared with the entire club as needed.
President’s responsibilities to the area, district, ZI and ZI Headquarters • Report as requested to the governor. • Report club achievements and concerns to the area director. • Inform the area director of details of club meetings and major club activities. • Invite the area director at least once per biennium.
