  3. Aims and Key Points: Types of modern commutation tools What is E-mail? How to send an e-mail? TradeManager and its functions. Skype and its functions.

  4. Introduction • In international trade, both the seller and the buyer are doing efforts to do transactions for their mutual benefits. They are probably far away from each other but have to communicate so often that perhaps they will talk with each other many times a day. How is the information transferred? Some communication tools, such as mobile phone, fax, telephone, telex, e-mail and online chatting tools, will be used. Which is the best choice? Mostly, convenience, fastness, low cost will be considered firstly as a standard. With the development of Internet and modern communication tools, e-mail, TradeManager, Skype netphone, Yahoo Messenger, MSN, Tencent QQ and other commonly used online tools are broadly chosen and used for their business negotiations.

  6. Task 1. Learn some basic knowledge of Modern Communication Tools Section I E-mail 1.What is Email - Electronic Mail? Email is a shortened version of the two words 'electronic' and 'mail' and can be considered the electronic version of the letter. Email is one of the most used and popular services on the Internet. Email enables messages to be transferred from an individual to another individual or from an individual to a group of people. Email can be sent and viewed various ways - the most common through a computer program, such as 'Outlook'. Email can be sent to anywhere in the world and viewed whenever the recipient logs onto the Internet and checks their mailboxes where emails are stored.

  7. Task 1. Learn some basic knowledge of Modern Communication Tools 2. Basic knowledge of Email. The header of an email includes the From: To:, Cc: and Subject: fields. So you enter the name and address of the receiver in the To: field, the name and address of anyone who is being copied to in the Cc: field, and the subject of the message obviously in the Subject: field. The part below the header of the email is called the body, and it contains the message itself. Spelling the correct address is critical with an email. Like with a normal postal letter, if you get the address wrong it won't reach the correct receiver. If you send an email to an address which doesn’t exist, the message will come back to you as an Address Unknown error. A seller and a buyer may negotiate with each other directly by speaking. Of course, they may type online casually and see each other by visual image. TradeManager brings us to a new internet business world and requires us to talk directly using spoken English with good pronunciation and intonation. Oral English is so important in and after 2007. We should learn spoken English well to suit the internet business development.

Skype is a proprietary peer-to-peer Voice over IP (VoIP) network founded by the entrepreneurs Niklas Zennström and Janus Friis, also founders of the file sharing application Kazaa. It competes against existing open VoIP protocols such as SIP, IAX, and H.323. The Skype Group, acquired by eBay in October 2005, is headquartered in Luxembourg, with offices in London, Tallinn and Prague. Skype has experienced rapid growth in both popular usage and software development since launch both of its free and its paid services. The Skype communications system is notable for its broad range of features, including free voice and video conferencing, and its ability to use peer to peer (decentralized) technology to overcome common firewall and NAT problems.

  12. Task 2 Learn some negotiation strategies. Notable Problems During the Process of Negotiations On negotiation table, the price is usually the key point. Both parties will have a few bargains before acceptance. Many difficulties center on pricing problems. In order to achieve a favorable outcome from the negotiation, the following points should be paid attention to: 1. Making a competitive price at the beginning of negotiation 谈判一开始出口商就报出有竞争的价格 In order to get any response from the buyer or attract the buyer’s attention, the seller always adopts a new strategy to offer a competitive price actively to seek an opportunity of negotiation with the buyer. If your quoted price is a higher one, probably no buyers will have a look at you and stop to talk with you. Someone will even do a non-benefit business first with a new customer to establish business relationship.

Making a high offer at the beginning of negotiation 谈判开始就报出高价 If you are an exporter, traditionally, you may make a high offer at the beginning of the negotiation and try your best to achieve your best aim through negotiation. Even if the best aim could not be achieved, you could reduce your price step by step without taking any financial risks 3. Making no compromise in the matter of prices at the beginning of negotiations 谈判开始,出口商不要在价格上妥协 If you are an exporter, remember never to make compromise in the matter of prices at the beginning of negotiations, you’d better try to postpone the subject until all of the other aspects of the transaction have been discussed and agreed upon if possible, so as to avoid losing the transaction that may benefit you.

Rejecting an exporter’s price at the beginning of the negotiation 谈判开始,进口商应拒绝出口商的报价 As an importer, you should reject the exporter’s price at the beginning of the discussion in order to get the upper hand from the start of negotiation. 5. Making no concession on price at once when the importer doesn’t accept the offer 进口商不接受报盘时,出口商不要立即在价格上做出让步 If the price quoted by exporter has not been accepted by importer, the exporter should react positively by initiating discussions on non-price questions, instead of immediately offering price concession or taking defensive attitude. Only by knowing the causes of the importer’s disapproving the offer can an exporter make a new offer acceptable by the importer or make other arrangements.

Constituting the price package 构成一揽子价格方案 After discussing all of the non-price issues, the exporter can shift the discussions in the final stage of talk to financial matters affecting the price quotation, such as credit terms, payment schedules, currencies of payment, insurance, commissions rates, warehousing costs, after-sales service, costs of replacing damaged goods and so on. Agreement reached on their points constitutes the price package. Any change in the buyer requirements should be reflected in a new price package.
