What is Closeout? • When a sponsored project ends, certain administrative actions are required to ensure an orderly and formal closing of the award. • Specific reporting and deliverable requirements are typically set forth in the sponsor's award documents, or in policies or documents incorporated by reference. • Please cc a copy of all closeout docs to: awardcloseout@research.uci.edu

Why is it Important? • Compliance issue: "The University has an obligation to close all sponsored projects and to submit any required final reports in a manner consistent with the terms and conditions of the award.” • Usually within 90 days of the project end date • Delinquent Status: • Can Affect Future Proposal Review and Funding

  5. Who does it Affect? Not Only the Principal Investigator, But The Entire University The University’s status with funding agencies may be jeopardized when final reports are submitted after the required filing deadlines.  In addition, audit findings for failure to submit final reports within the specified time frame can put the University at risk of the imposition of remedial action.  Such actions can include the withholding of award(s) to an investigator or the entire University.

  7. awardcloseout@research.uci.edu • Please advise Sponsored Projects whenever a final report is submitted to the funding sponsor. This can be done either electronically or in hard copy in any of the following ways: • By sending an email to awardcloseout@research.uci.edugiving the date and manner of submission and attaching a copy of the report; • By copying awardcloseout@research.uci.eduon the submission; • By providing a copy of correspondence from the sponsor confirming receipt of the report; or • By providing awardcloseout@research.uci.eduwith a link to the report if it is available online (along with submission information).
