District Action Facts FY12 Process Collaboration FY13 Solution Final Product Evaluations School Based Employee Evaluations State Requirements Senate Bill 736 required a research based evaluation system for teachers, principals, and assistant principals to be implemented in FY12. This evaluation system required both Instructional Practice and Student Growth to be included for a final score.

Evaluations Category 2 Facts FY12 Process Collaboration FY13 Solution Final Product District Action Marzano Research Based System Using iObservation recording tool FY12 & FY13 Teacher Evaluations included: • Teacher Observations including Formal, Informal, & Walkthroughs throughout school year. • Reporting to state for Survey 3 Mid-year and Survey 5 Final School Based Administrator Evaluations included: • FY12 Leadership Practice and Student Growth Scores completed in hard copy and manually entered into PeopleSoft for 657 School Based Administrators • Reporting to state for Survey 3 Mid-year and Survey 5 Final Evaluation

Evaluations District Action Facts FY12 Process Collaboration FY13 Solution Final Product Requirements vs. Struggles • Struggles: • Consistent recording tool implemented with fidelity • System must be developed and implemented first year • Business Process for gathering all data for state required reporting Requirements: FY12 Mid-Year (2206 Category 1 Teachers) Annual Evaluation (12,342 Category 1 & Category 2 Teachers) FY13 Mid-Year (2132 Category 1 teachers) FY13 Annual Evaluations (13, 031 Teachers )

  4. Evaluations District Action Facts FY12 Process Collaboration FY13 Solution Final Product FY 12 Business Process Liquid Office PeopleSoft PeopleSoft iObservation Liquid Office Many systems were required to get the data from iObservation to the state and each step above was a manual process.

Evaluations District Action Facts FY12 Process FY13 Solution Final Product Collaboration Streamlined System Multiple departments met to identify the best practice for reaching our target of a streamlined automated process. Professional Development, Human Resources, Department of Research, Assessment, and Evaluation, Educational Technology, IT - Applications Support & Quality Assurance, and the ERP Department were all at the table to build this solution.

Evaluations District Action Facts FY12 Process Collaboration Category 6 Final Product FY13 Solution FY13 Solution Teacher and School Based Administrator Evaluations will be moved to PeopleSoft Self Service. The evaluations will be able to be managed and accessed through the same process as contracts, In-Service Points and Pay Checks.

Do Not Delete • Process Steps: • Observation Data will be obtained from LSI as a file upload • State Student Growth Scores (VAM) obtained from State • Uploaded to PeopleSoft for Teacher and Principal notification and signatures • Available in PeopleSoft for viewing and printing by employee • Training: • Eighteen two hour sessions are scheduled for administrators responsible for evaluating teachers or administrators. • Open Labs are scheduled during August, September, and October to assist with the launch of the process
