Data Cleanup • Keeping your data ‘clean’ is not only necessary for the Fiscal Conversion, it is also a good business practice. • Consider the following: • Name Cleanup • Changing to Legal Staff names • Cleaning up the Employers • Cleaning up the Health Professionals • Cleaning up the Hospitals

Name Cleanup Tips • Always use legal names for students. • When siblings are not linked together, check the family number on each student. • Suggestion: When withdrawing a student remove the emergency contact information. • When you receive the dialog box ‘Do you want to delete this name’, click on ‘Yes’. It will not delete the name if it is attached to another role (name type). • Once data is cleaned up, make sure proper business practices are in place so that the problems don’t reoccur.

  28. Staff Name Cleanup Staff Names • Student Mngmnt/Codes/District Codes/Name/Name Maintenance/Staff • Let the staff who are also guardians know that they will only have one address. Their student and payroll information will go to the same address once the Fiscal conversion has taken place.

Staff Name Cleanup Tips • Change staff names to legal names (they should match those used in payroll) • Suggestion: Limit security on the staff table so that only a very limited number of people in the district can add/change/delete staff. • Any changes to the staff name, address, or phones should be verified through the Payroll Office.

Employer Table Cleanup Consider whether the employer information entered for guardians is accurate and if it is ever used. • Guardian work phone numbers are typically entered for each household guardian • The Employer Table will have records that are most likely district vendors. If you delete the employers you will avoid issues with duplicate vendors/employers • You will need direct access to the employer table (via security)

Health Professionals and Hospitals Table Cleanup Consider whether the health professional and hospital information entered for students is accurate and if it is ever used. • Typically in an emergency situation the school would call 911, rather than the student’s doctor. • The Health Processionals Table will have records that could be district vendors. If you delete the health professionals you will avoid issues with duplicate vendors/health professionals. • You will need direct access to the Health Professionals Table (via security)
