  25. External Reporting Automation

  26. External Reporting Automation • Exceeded our goal of 75% automation • Blueindicates % automated prior to the External Reporting project • Green indicates % automated to date

  27. Keys to our Success

  28. The Story Had a Happy Ending • 2Q and 3Q FY13 successful filings using DM • Achievement of the benefits we expected • Acceleration of the timing of our 10Q filings • 11 days before due date in Q3! • Successfully filed our first YE filing using DM

  29. Success Criteria & Expected Benefits • Benefits & Objectives: • All Hyperion applications on compatible versions to support DM implementation & desktop rollout initiative. • Leverage HFM to automate 50 – 60% of external reporting & eliminate re-keying of data (Goal 75%). • Ability to control tagging process by bringing in-house. • Ability to tag different portions of external filings simultaneously. • Implementation of 64-bit technology (previous Oracle recommendation for improved performance). • Reduction in filing fees with third party. • Increase efficiency in XBRL process (i.e., spend less time on XBRL than we do currently). • Utilization of check-in/check out, versioning, & workflow Success Criteria: • Hyperion Upgrade • Upgrade supports current system processes. • HFM: allocations, income estimates, reporting, reforecasts • Essbase: ICP allocations, reporting • FDM / ERPI: data loads, mappings • Upgrade supports Windows 7/ MS Office 10 rollout initiative. • ERPI upgrade is compatible with & supports R12. • External Reporting • Accurate external reporting / data integrity. • Automate 75% preparation of 10K, 10Q, & Press Release. • Disclosure Management • SEC must be able to accept the Disclosure Management files. • DM produces data that is accurate & in compliance with SEC requirements. • Regulatory team must have the ability to resolve XBRL errors. • Ability to generate an instance document with DM files. • Ability to make last minute changes while filling on time. • No disruption to the non-XBRL related 10-K or 10-Q processes. • Overall • Deliver project on time & on budget.

  30. Lessons Learned • Need the right people that embrace systems • Internal • Consultants • Do not rely solely on outside consultants • Need to develop in-house talent • Develop relationships with the experts

  31. Lessons Learned from the Oracle team • Critical to build XBRL expertise in-house • Assign a person who has good accounting + XBRL technical knowledge so they can understand the SEC requirements • Review and learn from SEC FAQ’s and staff observations • Start tagging early, fill in the numbers later • Oracle starts the process 6 to 8 weeks before quarter end • Plan on spending extra time and resources in first few filings • Oracle now spends 3-4 days before, 2 days after quarter end on XBRL • Train multiple resources for redundancy

  32. Implementation Best Practices

  33. Getting Started Before you start tagging… Know your requirements Identify your resources and responsibilities Set up your documents and data sources Understand success metrics

  34. Managing Documents • Use the Master document as a container for doclets. • Avoid using a single document for your entire report • Think about: • Modularity • Collaboration • Scope • Troubleshooting • Consider: • Simplicity – Doclets provide a clear indication of where content lives • Arranging content – easy to re-order doclets

  35. Doclets - Word or Excel?

  36. Data Source Tagging • Use Financial Reports with SmartView for the most flexibility • Leverage formatting, report formulas

  37. Document-Level Tagging • Technique used by Oracle and J.M. Smucker • Also preserves all XBRL tags and DM metadata on rollover • Leverage EPM data through worksheet linking • Mix data source and document-level tagging for hybrid approach
