Web Time Entry Employee Email Notification Is Here ! • To WTE Employees: • First notification: 3 days before end of pay period (if on weekend, the Friday before) to employees who have not started their WTE • Final notification: At actual end of pay period to any WTE employee who has not submitted their WTE. That leaves two days for action. Email show current status of WTE.

First Employee Notification Email From: Payroll Webmaster Sent: Friday, March 13, 2009 6:00 PM To: Employee, WTE Subject: Payroll Web Time Entry Reporting Notification Employee, WTE You have not completed a timesheet for the pay period 03/01/2009 to 03/15/2009. The status of your timesheet right now is : Not Started. Please complete your timesheet as soon as possible to ensure you get paid. Thanks, Texas Tech Payroll Services

Final Employee Notification Email From: Payroll Webmaster Sent: Sunday, March 15, 2009 6:00 PM To: Employee, WTE Subject: Payroll Web Time Entry Reporting Notification Employee, WTE Final Notice!!! You have not completed a timesheet for the pay period 03/01/2009 to 03/15/2009. The status of your timesheet right now is : Not Started. Please complete your timesheet NOW to ensure you get paid. Thanks, Texas Tech Payroll Services

WTE Approver Email Notification Is Here!! • First notification: 3 days prior to end of pay period to approvers of employees who have not started their WTE (if on weekend, Friday before). • Final notification: At end of pay period to approver of any WTE employee who has not submitted their WTE. Indicates status of WTE. Gives employee and approver two days to complete WTE.

First Approver Email Notification From: Payroll Webmaster Sent: Thursday, March 12, 2009 6:00 PM To: Approver, WTE Subject: Payroll Approver Web Time Entry Reporting Notification Approver, WTE This is a list of the employees for which you are a timesheet approver who have not started their timesheets for the pay period: 03/01/2009 to 03/15/2009. Specifications requested are: • Send email to Approvers in approval levels 1-73. • Send CC to the Approver’s Proxy/Proxies • Frequency: twice per day, 10:00 am and 3:00 pm • Send email to all Originators who have ePAF transactions awaiting their review/action • Frequency: twice per day, 10:00 am and 3:00 pm • Email notification to Originators listing PAFs they originated that have been waiting for review/approval for 3 days or more • Combine with email listing ePAFs awaiting originator’s review/action, or do a separate email. • Frequency: twice per day, 10:00 am and 3:00 pm

  12. WTE Errors Failure by Employee and Approvers to use correct leave codes. Example: Sick Leave Exception, Sick Leave Pool Result: Docked Pay.

  14. Multi-purpose One Time Payment Form CONGRATULATIONS! FORMS ARE LOOKING GOOD WITH THE RIGHT INFORMATION. This form replaces Part B of the Additional Comp process…….but we still need Part A. Part A has been placed on our forms page next to the One Time Payment form.

  15. Email forms to HR Comp Wage and Salary (Compensation) now has a group email box that can receive scanned forms HRComp@ttuhsc.edu Regional centers continue to process forms through your HR office.
