NYCris system to identify potential duplicate tumors by comparing ICD Site code, histology code, and behavior code of tumors in patient cohort. Results show reduction of duplicate records. Limitations, including laterality and genuine multiple tumors.

NYCRIS: Rule to Identify Potential Duplicate Tumours (1) Select Patient Cohort Patient Id: Range Date Last Changed: Range Sex: M or F Check Patient Eligibility 1. Multi-primary 2. At least one tumour meets date criteria Compare Tumours For every patient compare each tumour to succeeding ones using: 1. First 3 characters of ICD Site code 2. First 3 digits of histology code 3. Behaviour code SAME SITES Sites are the same or equivalent C01 and C02 = Tongue C07 and C08 = Parotid/Other major salivary glands C12 and C13 = Pyriform sinus and hypopharynx C19 and C20 = Rectum and rectosigmoid junction C77 to C80 = Secondary Neoplasms (C82-C85, C91 and C95 =Various forms of NHL and lymphocytic and unspecified leukaemia)

NYCRIS: Use of Rule in Current Process • Duplicate Tumour Search report incorporated in C-CRIS2 • Run manually each month • Use Date Last Changed range to identify records added or amended since last run • Potential duplicate pairs of tumours reported side by side in printed report for ease of comparison • Duplicates resolved prior to next run
NYCRIS: Results Produced by Application of Rule November 2002 Patient Records Selected: 2,271 Potential Duplicate Pairs Found: 230 Actual Duplicate Records Deleted: 23 December 2002 Patient Records Selected: 1,652 Potential Duplicate Pairs Found: 153 Actual Duplicate Records Deleted: 9 Limitations • No account is taken of laterality so there are issues with paired organs e.g. Breast • Majority of records identified are genuine multiple tumours e.g. colorectal, skin, melanoma
